Go Beyond Your Scheduled Appointments

The first thing your dispatcher does after that morning coffee kicks in is pull up the Gantt to review what their day looks like. It's a quick way to get the lay of the land, including how the team's time is spread out and what appointments are already lined up. But that's only half the story.

Tracking what’s already scheduled is the easy part. The real work of dispatching is figuring out what hasn't been scheduled yet, and deciding how to take it on before it becomes a problem. These unscheduled appointments are the real challenge in any scheduling operation. Lose track of even one, and you risk a client being left waiting with no one showing up at their door.

This is where the service appointment list shines. It comes with a set of predefined filters available on any list view that help you control exactly which appointments to include so you can quickly zero in on the ones that need attention right away. Here are the filters available right out of the box.

Filter Name

Definition

Cancelled

This filter includes service appointments whose status category is Cancelled.

Contractors

This filter includes service appointments that are assigned to capacity-based resources.

Crews

This filter includes service appointments whose parent work order or work order line item requires a crew of more than one person.

Gantt Rules Violation

This filter includes service appointments that have rule violations and their status category isn't Cancelled. Rule violations can occur in conditions where appointments overlap with each other or with breaks, or when a service resource doesn’t have required skills.

In Jeopardy

This filter includes service appointments that are marked In Jeopardy and their status category isn't Cancelled.

Match Gantt

This filter includes service appointments that are currently shown on the Gantt, which means they have one or more assigned resources and fall within the defined time frame.

Scheduled

This filter includes service appointments with an assigned resource.

To-Do

This filter includes service appointments that either have a status category of None, have rule violations, or are marked In Jeopardy with a status category that isn’t Cancelled or Completed.

Unscheduled

This filter includes service appointments that don’t have an assigned resource.

Track Appointments with Custom List Views

Standard filters can handle a lot of common scenarios, but they won't always match how your team operates. Every field service business has specific priorities, and sometimes you need a list view that's built around yours.

For example, one of your resources calls in sick, and they had a full day of installation jobs lined up. You need to identify those jobs, and reassign and reschedule them fast—before your customers start noticing the gap. This is exactly where a custom list view comes in handy. Instead of scanning through every appointment on the list, you can build a view that sorts by work type, which brings all your installation jobs together in one place.

Here's how to build one.

  1. From the App Launcher App Launcher, search for and select Field Service.
  2. In the Service Appointments tab, select List View Controls List View Controls| New.
  3. For List Name, enter Installation Appointments.
  4. Select Save.

With the list view created, now it’s time to filter the appointments shown.

  1. In the Filters window, select Add Filter.
  2. Enter the following values:
    • Field: Work Type
    • Operator: equals
    • Value: Installation
  3. Save your work.

The list refreshes right away, and includes only the appointments that match your filter. You can now review this list in the Scheduling Console. In the appointment list section, select the list name from the dropdown menu.

Installation Appointments list view is selected in the Scheduling Console.

Review the console now, and you'll notice something. This list includes every installation appointment across your entire organization. That's a lot of appointments to sift through when all you really need are the ones lined up for today, the day your resource happens to be out. Note that your playground org might not include sample appointments.

Luckily, there's a way to narrow things down even further. The Match Gantt Dates option lets you configure your list to include only the appointments falling on the specific day you're reviewing.

Here's how to turn it on.

  1. In the Scheduling Console, select Settings Settings icon.
  2. Select Gantt and Appointment List, and go to the Appointment List tab.
  3. Select the Match Gantt Dates checkbox.
  4. Select Save.

With Match Gantt Dates turned on, your list shrinks down to just today's installation jobs, ready to be reassigned. Now comes the real question. Who's going to pick up these jobs?

Find Candidates with AI Reasoning

After the dispatcher finds the default appointment, they also need to find a suitable candidate to do the job, one that has both the time and the skills. By selecting the appointment on the Gantt, you can use the Find Candidates quick action to quickly pull up a list of alternatives, which includes ideal appointment slots and travel times.

Agentforce takes this a step further by helping you find the ideal candidate, not just a suitable one. What counts as ideal depends on your business priorities, which Salesforce calls scheduling policies. A scheduling policy lays out a clear set of factors that guide the system’s suggestions, such as prioritizing the most skilled resource available or getting the job scheduled as soon as possible.

Of course, it helps to know why the system is recommending one candidate over another. That's exactly what the Show Explanations feature in Agentforce does. It adds a Why? action next to each candidate. Select it, and you'll get a plain language explanation of why that option was suggested, and how it stacks up against the alternatives.

Here’s how your admin can turn it on.

  1. From Setup , enter Permission Sets in the Quick Find box, and then select Permission Sets.
  2. Select Einstein Field Service User | System Permissions.
  3. Select Manage Assignments | Add Assignment.
  4. Select the checkbox next to OrgFarm EPIC to assign the permission set.
  5. Select Next | Assign.
  6. Select Done.

With Show Explanations turned on, your dispatchers get more than just a list of names. They get a reason behind every suggestion, so they can trust the recommendation or make the call to override it, whichever fits the moment. That's the real value of Agentforce here. It doesn't just hand you an answer, it gives you the thinking behind it.
