Get to Know Workforce Scheduling

Learning Objectives

After completing this unit, you'll be able to:

  • Explain the scheduling challenges that organizations face without a unified scheduling solution.
  • Describe Workforce Scheduling and its benefits.
  • Describe the difference between on-site and field scheduling methods.
  • Identify the key roles involved in Workforce Scheduling.

The Scheduling Problem That's Bigger Than It Looks

Every day, organizations coordinate two different types of appointments: on-site appointments, which take place at an office or branch, and field appointments, which require workers to travel to a constituent's location. Many organizations manage these appointment types using separate scheduling systems.

This disconnected approach makes scheduling more difficult than it needs to be. Organizations often rely on separate systems, custom integrations, and manual processes to coordinate office appointments and field visits, driving up costs and reducing visibility across the workforce. Staff switch between systems to schedule appointments, dispatchers have limited visibility into worker availability, and workers who split their time between the office and the field often manage separate schedules instead of working from a single view.

Consider a family applying to become foster care providers through their local government. Throughout the licensing process, they attend an orientation session and an in-office interview before scheduling one or more home inspections.

The office appointments are scheduled in one system, while the home inspections are managed in another. Staff coordinate appointment availability manually, dispatchers have limited visibility into both office and field schedules, and inspectors rely on separate tools to receive and complete their assignments.

The challenge grows for workers who perform both on-site and field work. A licensing specialist might meet with prospective foster parents in the office one day and conduct home inspections the next. Without a unified scheduling solution, their availability, assignments, and appointments remain fragmented across multiple systems.

Workforce Scheduling brings on-site and field scheduling together in a single solution. Organizations can schedule appointments, assign the right workers, manage office and field work from one Operations Console, and support mobile workers with the Salesforce Field Service mobile app. In this unit, you explore how Workforce Scheduling helps organizations deliver a connected scheduling experience from scheduling through completion.

The Workforce Scheduling Solution

Workforce Scheduling is a scheduling solution built into Salesforce that manages both on-site and field appointments in one place.

Instead of stitching together separate scheduling tools, Workforce Scheduling works with the Salesforce objects your organization already uses. In Agentforce Public Sector, for example, that includes Interactions for on-site appointments and Visits for field appointments. Organizations can use a single scheduling platform for both appointment types, sharing scheduling policies where appropriate while configuring different work rules and service objectives for on-site and field scheduling when needed. The same platform handles appointment scheduling, worker assignment, and scheduling updates across both appointment types.

Returning to the foster care licensing process, the family's orientation, in-office interview, and home inspections are all managed through the same scheduling solution. Dispatchers and supervisors have a unified view of on-site and field appointments, making it easier to coordinate schedules and assign the right workers. Licensing specialists and inspectors who work both in the office and in the field manage their schedules in one place instead of switching between systems. Constituents experience a consistent scheduling process throughout the licensing journey, while staff spend less time coordinating across tools and more time serving families.

On-Site and Field Scheduling: Two Scheduling Methods, One Platform

Workforce Scheduling supports both on-site and field appointments from a single platform.

  • On-Site scheduling supports appointments that take place at a physical location, such as a branch or office. For example, prospective foster parents might attend an orientation session or meet with a licensing specialist at a Family Services office.
  • Field scheduling supports appointments that take place at the constituent's location, such as a home, business, or inspection site. For example, a licensing specialist or inspector might visit a prospective foster family's home to complete a home inspection.

These scheduling methods have different scheduling needs, but they run on the same platform. Organizations can configure each method independently while managing both from a single scheduling solution.

Who's Involved in Workforce Scheduling

Workforce Scheduling supports several roles across an organization. Each role interacts with the platform differently, helping move appointments from scheduling to completion.

  • Salesforce admins set up and maintain Workforce Scheduling. They configure work types, scheduling policies, operating hours, service territories, and other scheduling settings that determine how appointments are scheduled and assigned.
  • Dispatchers and supervisors manage day-to-day scheduling operations. They schedule appointments, assign work to the right resources, monitor on-site and field schedules, and adjust assignments as schedules change.
  • Field workers and inspectors complete appointments at constituents' homes or other field locations. They view their schedules, update appointment status, and record their work using the Salesforce Field Service mobile app.
  • Greeters manage constituent arrivals at on-site locations. They check in constituents, direct them to the appropriate service, and help manage walk-ins and scheduled arrivals.
  • Constituents schedule appointments, attend on-site meetings, and receive field workers at their homes or other locations. Workforce Scheduling provides a consistent scheduling experience regardless of where the appointment takes place.

Together, these roles support a single scheduling process across both on-site and field appointments.

What's Next?

Now that you understand the problem Workforce Scheduling solves, how on-site and field scheduling work, and who's involved, it's time to look behind the scenes. In the next unit, you explore the core objects, supporting configuration, and the architecture that powers Workforce Scheduling.
