Review Policies and Processes

Learning Objectives

After completing this unit, you'll be able to:

  • Describe what policies and processes are in Cloud Data Governance and Catalog.
  • Identify which assets a policy governs, including indirect relationships.
  • Explore a process's hierarchy and subprocesses in the catalog.

Review Policies and Processes

Policies and processes are often used together in CDGC to show what governance controls exist and how they're implemented. A policy states what Infiwave should do—and a process shows how it gets done.

Angela's manager has asked her to review Infiwave's Personal Data policy, identify which assets it governs, and verify that sensitive customer data is properly covered. She also needs to review the Know Your Client (KYC) process to confirm the order of steps and validate the data involved. Both tasks start in the Browse page.

What Is a Policy?

A Policy is a set of basic principles and associated guidelines, formulated and enforced by the governing body of an organization, to direct and limit its actions in pursuit of long-term goals. Policies state the agreed way an organization should meet the needs of regulatory requirements.

In CDGC, policies describe rules and relate them to technical assets, which gives visibility into what the policies affect and their dependence on other assets. There can be child policies (subpolicies) under a primary policy, allowing assets to be governed with greater precision.

Key policy properties include:

  1. Name, Description, Reference ID, Type: For example, a Policy Type of Data Standards applies to a Data Protection Policy.
  2. Parent: This is selected if the current policy is a subpolicy. If a policy has no parent, it's a standalone policy.
  3. Dates: This includes when the policy is in effect.

The Asset 360-degree view of a policy, includes its name, type, reference ID, and active dates.

To review a policy and identify the assets it governs:

  1. In the left panel, select Browse and select the Policy tab.
  2. Locate the policy you want to review and select it to review the summary.

The Browse page with the Policy tab selected and a policy highlighted.

  1. Go to the summary panel to review the Related Assets diagram.
  2. Select the policy name to open the Asset 360-degree view.
  3. Select the Hierarchy tab to check whether the policy has subpolicies.

A Data Protection policy with the Hierarchy tab open includes parent and subpolicy structure.

Direct and Indirect Policy Relationships

When a policy is linked to an asset, it creates a direct relationship. But policies can also have indirect relationships—where a policy governs an asset through a chain of connections.

For example, if the Infiwave Personal Data policy is linked to a Customer Email business term, and that business term is linked to the flat field cust_email in a table, then the policy indirectly governs cust_email. Angela can review both direct and indirect relationships in the Relationships tab under Related Assets.

Relationships also have direction.

  • Outbound relationship: The policy is related to another asset, such as Customer Data Privacy Policy is the parent of Data Breach Management policy, or Customer Data Privacy Policy is Related to New Customer Onboarding Process.
  • Inbound relationship: Another asset is related to the policy, such as JLR Manufacturing Policy Support Implementation of Customer Data Privacy Policy.

The Relationships tab of the Data Protection policy in Grid view includes related policies.

What Is a Process?

A CDGC process is a high-level representation of a real-life business process and its context and connections to data. Processes are hierarchical—you can break one parent process down into multiple subprocesses (steps), each related to specific assets.

Processes are linked to all asset types, including glossary assets, policies, technical assets, and other processes. Process Maps provide a visual representation of the sequence of process steps, showing parent-child relationships and predecessor links. This helps Angela quickly understand Infiwave's complex workflows.

Explore Processes in CDGC

To review a process and its subprocesses:

  1. In the left panel, select Browse | Process.
  2. To expand a process, select the arrow that precedes its name to view its subprocesses.
  3. Select the process name to open it in Asset 360-degree view.
  4. Select the Hierarchy tab to review all subprocesses listed.
  5. Select the Process Map tab for a visual representation of the process steps, including start and end points.
  6. Select a subprocess and select the Related Assets tab to understand the order of execution—inbound relationships indicate what precedes a step, and outbound relationships indicate what follows.

The Process Map page in CDGC includes a visual flowchart with process steps connected by directional arrows.

Wrap Up

In this badge, Angela explored the business assets that power governance at Infiwave. She learned the difference between technical and business assets, navigated the glossary to find official definitions her teams can trust, and reviewed policies and processes to confirm which data is governed and how.

Business assets transform technical data catalog into a governed, shared resource that every team can use with confidence. With the skills from this badge, you're ready to do the same in your organization.
