Participants joining in as a viewer/spectator on Google Meet using the Outreach Meeting Link. 

 

We’re using

Outreach meeting links for scheduled calls and have run into an issue where, occasionally, the invited attendee joins as a viewer

and can’t speak or participate. This happens even though the person is logged in using the same email address that received the invite. 

 

We haven’t been able to reproduce this consistently. When we tested using a personal email and a separate device, both participants were able to join and speak without any issues. 

 

Our Outreach onboarding rep suggested this might be related to Google Meet viewer settings (for example, “everyone is a viewer by default” or host controls that limit participant roles). Our Google Workspace admin does not see these settings enabled

at either the org or meeting level. 

 

Questions:

  • Are there any Outreach-specific or Google Meet settings that we can adjust to prevent participants from joining as view-only going forward?

Looking to see if anyone knows how I could push Outreach to automatically update the ''prospect'' sequencer when the opportunity owner in Salesforce is updated.

I have a client who has a picklist in SFDC where one of the options is to leave the field empty/blank. They want to have bi-directional sync with Outreach, so how do we make it so that the same option exists in Outreach (where they have options but can also leave the field blank)?

 

They are getting this error: "We could not sync this record. Reason: Provided external ID field does not exist or is not accessible: Requested."

    Hi @Amanda Woodring,

     

    You can have blank values for picklist if the picklist if not a required field. 

     

    But the error message you have mentioned looks like an issue with the external ID field.

Has anyone had any luck connecting the new dedicated API Integration User in Outreach?

I am getting "Access Restricted for API Only Users" when trying to connect it as the sync user in Outreach and not getting anywhere.

    Yes, it does. This is how we worked until now.

    Yet I am trying to implement the new type of API Only user as this is an integration user and not using any interface.

I discovered Auto-Emails can unintentionally be sent from the Outbox of a new Prospect owner when the new owner is updated after the original owner added the Prospect to a sequence and completed the first manual email step. I need to find a way for Outreach to notify my team if the owner changes mid-sequence without having to disable the "Propagate Prospect Ownership" org setting.

Is there a way Outreach can notify the original Prospect owner, new owner, and/or active sequence owner that the Prospect is active in a sequence with pending Auto-Emails when the owner is updated? Then we could avoid accidentally sending Prospects emails from an unintended team member who didn't originally add the Prospect to the sequence or send the first manual email.

Ideally Outreach would be able to assign and lock the Outbound mailbox for any Auto-Email step to the user who adds the Prospect to a sequence and completes the first manual email step. This way, we can avoid having to worry about who owns the Prospect altogether. 

I found a KB article: Switch Email Sender (Assigned Sequence Mailbox) Mid-Sequence - but have yet to find a way to automate this inside the Outreach platform. Triggers do not have this functionality. 

The ideal functionality would include a standard sequence setting that assigns the Outbox to the user who added the Prospect and/or competes the first auto-email - without having to change the Prospect owner.

I've set everything up under Plugins > Salesforce > Opportunity Contact Role <> Prospect Role so it automatically pushes changes to Salesforce and also under Inbound Update i have the Update existing OpportunityProspectRoles turned on, but opp's still don't get automatically added to the prospect in Salesforce, so emails don't get synced into the Opportunity.

    Thanks @Rimsha A..  It appears I've done all of steps 1-3 already and they still don't get synced over.  Two follow up questions:  

    • I have the polling frequency set at 10 minutes but it says it is Up to date as of 18 hours ago.  I click the 'Poll' button in the upper right corner but it doesn't do anything.  Shouldn't it be up to date every 10 minutes?  I made the changes you suggested less than 18 hours ago so I'm wondering if the changes haven't gone into affect yet.
    • How do I check to see if we've set up some sort of criteria to only bring over specific types of opportunities?  I did not set up our Outreach instance, so I'm not too familiar with how it was originally set up.

Do Outreach prospect stages need to match 1:1 with out Lead Statuses?  I have Outreach stages that I like as a Sequence Status, such as "Attempting to Contact", but Outreach support told me that I need to have exactly the same Lead Status values if I want to be able to sync data between Outreach and Salesforce.  I don't want to create lead statuses based on sequence statuses though.

    Hey @Tom Wynn,

     

    It is as Outreach support says. The Outreach<>SFDC plugin has to have an exact matching Outreach Prospect Stage to Salesforce Lead Status for a successful sync. If a plugin mapping doesn't match, sync will fail.

     

    It sounds like you want to have Sequence status data synced to Salesforce as well as Lead Status data. I definitely recommend doing each separately. Once you have the Prospect Stage accurately mapped to the SFDC Lead Statuses, check out this article for Syncing Sequence Engagement Status Data to a CRM.

Hello everyone! Does anyone know where I can find documentation for Outreach's 2023 release schedule? The support documents only show release notes for September, October, and November 2022. Thank you!

    Hey @Kyle LaRoche, sorry i'm only just seeing this. Outreach historically hasn't given precise dates for their releases. I had luck getting some UX update info down to a two-week window date range last fall by asking the CSM on our account. Try asking your CSM for more details

We have leads going into a user group once they hit nurture in salesforce, rather than remaining in our name in the nurture stage. I can't seem to get this owner to be seen in Outreach, I guess because it is a group so it isn't mapped?   I want to do reports to check for any leads in this group rather than in our names but in active sequences. Right now these leads have the correct owner in Outreach but not in Salesforce, where they are still in this group -  and I can't seem to figure it out!

    Hi and thanks!

    The User in Salesforce in this case is a group/queue not a person and so doesn't show up as a user in Outreach. I was hoping there was a way to do it somehow in salesforce or create a new mapping type user groups, or even just a trigger?

    Any idea's welcome!

Hi all,

 

We've just set up the Salesforce and Outreach sync for our business. We have inbound create on for Contact > Prospect and Account > Account. 

 

Does anyone know if there's a way to poll the accounts and contacts we have in Salesforce quickly without doing each one manually?

    Lia, the "Poll" option is available when you are on the particular object you are looking to update/create. Keep in mind the mass polling will affect your API calls so you may need to adjust them appropriately.
