My team is working on creating a streamlined way to keep up with up coming grant tasks (proposals, touch points with the donors, and reports) throughout the year. Currently we are using a word doc with info such as a general overview of the grant(amount to request/ received, grant period dates, and if there are any restrictions on what the grant is to be used for), report or proposal due date, grant number if applicable, the report type, and the structure of the report/proposal (specific directions for how to conduct the report/proposal.) As well as noting when we anticipate to reach out to the donors to maintain relationships.

 

While this is working right now, we are hoping to make a more streamlined process that will update itself based on inputted information from each grantor account in SF and for it to send out automatically every few months to keep us on top of things. I was curious as to if anyone had any advice on how to set something like this up if you have a similar process up and running, or any suggestions on alternative, but better, ways to automate this idea for us.

    Seconding Deliverables for this use case! Some organizations I work with have opted to set up a screen flow to use when the award letter is received - it walks a user through recording the awarded amount, indicating whether the grant will be applied for again in the future (creating that Opportunity if so), and indicating what deliverables there are/collecting the info and due dates for those (and creating them). Then, users subscribe to reports of upcoming and overdue Deliverables, so they get a daily or weekly email of what's on the radar.
