We are at our Data Storage capacity in production and we're looking to clean out some of the various records that are eating up our storage space. Most of what we are dealing with is Manticore marketing activities history (i.e. automated outgoing emails), Tasks, Events, Campaign Members, POS, Leads, Contacts, Accounts, etc. Does anyone have a comprehensive list of suggestions on how long we should keep the records in Salesforce? We would appreciate any suggestions!

    I don't know of any list like that, primarily because that's a very org-centric decision, based on your business model. For instance, our marketing department doesn't care about otubound campaigns / emails from more than 9 months ago. So for me, I remove those automated emails that are more than 9 months old, and also the campaigns older than 9 months.

     

    Leads is another spot where I tend to export sets of old, archived, unqualified data and keep a copy backed up offline, then remove those from Salesforce. I tend to not touch Accounts or Contacts.

     

    Go to Setup > Data Management > Storage Usage, take a look at what is eating up most of your data, then go from there.
