We are having an on-going debate at Arizona State University regarding setting the primary email in Salesforce for an active student versus what is maintained for purposes of recruitment. Here are some basic use cases and I'd like to hear from other higher education customers of Salesforce how you handle these situations to establish some best practices. Based on feedback received, I will post a summary on this chatter group.

Current student or current employee that completes an RFI form. For current student or employee communications, we want to use our official

asu.edu

email, but correspond with the applicant through the email address provisioned on the RFI form. Is this consistent with the practice at your institution and if so, what do you set primary email in Salesforce to?

New student that is matriculated and plans to start at our institution in Fall 2015. At what point in the process do you flip from using their recruitment provisioned email to official

asu.edu

email? At the point of matriculation, registration or 1st day of classes?

Person that has been out of school for several years and wants to return to pursue an advanced degree. They still have an

asu.edu official email but most likely are not checking it or have not forwarded it to a valid address. If this person fills out an RFI form do you revert to using their recruitment email as primary in Salesforce? If yes, what happens when they request a transcript or ask for other services that are provisioned through Salesforce?

    Hi Roger,

    This might be an old post. Most of the universities tend to have the inquiry email as the main email as the point of contact till the student registers and makes a payment for the course. After he becomes a registered student, you can change the email to the edu email or create this as an alternate email.

    I know it might be confusing to have 2 emails which do not work very well with mass email solutions. So here is what i will recommend.

    1. Stick to one inquiry email and change the email to an alternate email to capture the edu if neccessary.

    2. During the student enrollment in the university, the edu email can be the primary

    3. After he becomes an alumini , the inquiry email can become the primary.
