Select and Enable CRM Analytics Features

Turn On Features for Your Users

Different users have different needs. Some want to work with the API, some want to share with Experience Cloud sites, and others want to be able to download their CRM Analytics explorations. As the Salesforce admin who sets up CRM Analytics, you want to use all these features. In this unit, we show you how to turn on the features you and your users need.

Show or Hide Data in Thumbnails

You know how you can set your cellphone to show emails and calendar info even when it’s locked? You can enable or disable that feature, depending on whether you have content you want shown all the time. There’s a similar consideration with CRM Analytics. The icons representing your lenses and dashboards can show previews of the underlying data. On the one hand, it makes it easier for users to find their lenses and dashboards on the home page and on app pages. On the other hand, it has the potential to show sensitive information.

As admin, you can set whether those icons show data or not. You can replace the generic icons with preview thumbnails of the contents of all lenses and dashboards.

Even if row-level security applies to the dataset used by a lens or dashboard, the preview thumbnail can expose data from restricted rows. Row-level security restrictions take effect only after you’ve clicked through to the lens or dashboard. If you don't know what row-level security and security predicates are, don't worry. We cover them in the next unit.

To turn on preview thumbnails, complete the following steps.

  1. From Setup, enter Analytics in the Quick Find box, then select Settings.
  2. Select Show preview thumbnails for all lenses and dashboards.
  3. Click Save.
Note

Preview thumbnails appear by default, unless special access restrictions, or a ”security predicate”, is defined for a dataset. If you enable this setting, even assets with security predicates show a preview thumbnail.

Enable CRM Analytics for Experience Cloud

It’s fun to share! But if you want your Experience Cloud users to be able to share CRM Analytics apps securely with Experience Cloud partners and customers, you first have to—you guessed it—assign the appropriate PSL to your Experience Cloud users, and assign them the correct permission set.

Of course, your new Trailhead DE org doesn’t yet have a thriving Experience Cloud site for you to set up CRM Analytics for sharing with Experience Cloud. Just remember, when using your own org with Experience Cloud already set up, you would assign your site members the Analytics for Experience Cloud permission set license, and then create a permission set that includes the View Analytics on Experience Cloud pages permission and assign it to your site members.

Note

Only users with an Experience Cloud Plus or Partner Experience Cloud license can use this feature. This feature is supported in sites but not in portals.

Enable or Disable Downloading from CRM Analytics

You might want your users to be able to download the results of an exploration. With downloaded explorations, users can save a snapshot in time, compare with other explorations, or manipulate the data in some other tool.

Users can download the results from lens explorations and dashboard widgets as images (.png), Microsoft® Excel® (.xls), or comma-separated values (.csv) files.

Assign users a permission set that includes Download Analytics Data. Users with the permission see download options when they select Download from a dashboard widget.

To set up users to download data from CRM Analytics, complete the following steps.

  1. From Setup, enter Permission Sets in the Quick Find box, then select Permission Sets.
  2. Select the Example Permset permission set, and then select System Permissions.
  3. Click Edit, then select Download CRM Analytics Data, if it’s not already selected.
  4. Click Save.
Sometimes you want to prevent users from downloading CRM Analytics exploration results. When you do, remove the permission from those users.

Enable Annotations on Dashboard Widgets

Your users have been asking how they can easily collaborate while creating their dashboards. For example, they want to annotate their widgets so they can have conversations about their designs and results.

No problem at all. As a Salesforce admin, you know you can turn on this cool feature. You have the power!

Annotation lets users have conversations right in the dashboard. They can add notes to dashboard widgets, with comments posted in the dashboard, and in Chatter. With annotations, your users can hold more efficient conversations about data and how it’s visualized because the dashboard is right there for reference. CRM Analytics dashboard annotations are natively integrated with Chatter, so users are automatically notified when they receive comments. Click in Chatter and go straight to the dashboard in CRM Analytics. Neat, isn’t it?

  1. From Setup, enter Feed Tracking in the Quick Find box, then select Feed Tracking.
  2. Select Analytics Asset.
  3. Select Enable Feed Tracking.
  4. Click Save.
Note

Annotations are supported only in dashboards built with the CRM Analytics dashboard designer.

Enable the Analytics REST API

As DTC admin, you know that your engineering team can benefit from programmatic access to your org’s datasets, lenses, and dashboards. They already have ideas for using the API (application programming interface) to automate all sorts of things. Some bright sparks in the team even want to create company-branded apps to sell on AppExchange.

If you want just a few intrepid folks to have API access, assign the API Enabled permission to those users. This way, you’re not giving everyone in your org access to the API.

However, in situations where you do want to give access to everyone, select this setting to override the API Enabled permission for individual users and give all Analytics users (including Experience Cloud users) access to the Wave API.

  1. From Setup, enter Analytics in the Quick Find box, then select Settings.
  2. Select Grant all users access to Wave API.
  3. Click Save.
