Include Document Checklist Items

Learning Objectives

After completing this unit, you’ll be able to:

  • Differentiate between document checklist items and tasks.
  • Add document checklist items to an action plan template.
  • Publish an action plan template.
  • Explain how to clone and manage a published action plan template.

Differentiate Between Document Checklist Items from Tasks

In the previous unit, you set up an action plan template with three tasks for users to complete: Review customer metrics, present an annual report and new agreement to customer stakeholders, and upload a new signed customer agreement.

But where can you upload that signed customer agreement? You upload it to a document checklist item.

Earlier, you learned that document checklist items work alongside tasks in an action plan template to track and store required documents for a business process. Unlike tasks, document checklist items can’t be assigned to a specific person or given a deadline. You can, however, mark document checklist items as required.

You can also organize documents into groups by using the Document Type picklist field on the Document Checklist Item object. Your special developer edition org includes a few Document Type values to show you some possible values.

Add Document Checklist Items to an Action Plan Template

In the example scenario, you need a document checklist item to track the new customer agreement. Create that now.

  1. In the Annual Customer Check-In action plan template, in the Document Checklist Items list, select New Document Checklist Item.
The Document Checklist Items list with the New Document Checklist Item highlighted.
  2. Specify these details.
    • Name: Signed customer agreement
    • Document Type: Contract
    • Select Required.
  3. Save your work.

Optionally, you can add instructions for each document checklist item to explain specifics about the document, its format, and so on, for your users.

With this document checklist item, you’ve now created everything you need in an action plan template for this badge’s simple scenario.

Publish the Action Plan Template

You can’t create an action plan from an action plan template until you publish the template. You do that in a moment.

First, a word of warning: You can’t change an action plan template after it’s published. You can’t change a published action plan template back to Draft status, either. After you publish an action plan template, it’s locked. To change it, clone the action plan template, modify it, and publish the new version. Cloning the existing template saves you time because you don’t have to start from scratch.

If you’re cloning an action plan template, after publishing the cloned template, deactivate the original to set its status to Obsolete. If you didn’t use the obsolete template to create action plans, you can then delete it. If you did use the action plan template to create action plans, that action plan template can stay in obsolete status.

The action plan that you created is complete, so publish it now.

  1. In the Annual Customer Check-In action plan template, select Publish Template.
  2. Select Publish to confirm your choice.

Your new action plan template is ready to use.

What’s Next?

In this unit, you took the final steps to finish your action plan template by adding a document checklist and then publishing the action plan template. You also learned that an action plan template locks when it’s published, and you can change a published action plan only by cloning the template and deactivating the original.

In the next unit, you use the action plan template to create an action plan for a specific account, then work through the tasks and document checklist items to complete that action plan.
