Manage Campaigns

In this project, you’ll:

  • Create a campaign.
  • Edit an existing campaign.
  • Create outreach source codes.

A campaign is an organized effort to gather support from individuals, businesses, charitable foundations, or governmental agencies for your institution. Campaigns come in all shapes and sizes, but their key goals are to grow financial support and sustainability, increase community engagement, make a social impact, and build relationships. Examples of fundraising campaigns include annual campaigns, comprehensive capital campaigns, endowment campaigns, class-year campaigns, and event-based campaigns.

Using Fundraising with Education Cloud, you can manage all of your advancement campaigns. Campaigns in Education Cloud work very similarly to nonprofit campaigns.

Create a Campaign

In Education Cloud, you create and manage campaigns using the Donor Engagement app.

Delaney works with the Advancement Coordinator at Astro University to kick off the upcoming capital campaign. She identifies things like the name of the campaign and the start and end date, and then launches the Donor Engagement app to set up the campaign.

Follow these steps to create a campaign.

  1. From the App Launcher, find and select Donor Engagement.
  2. Select the Campaigns tab.
  3. Change the list view to All Active Campaigns and pin the list view.
  4. Click New.
  5. For the Campaign Name, enter 2026 Empowering Tomorrow Capital Campaign.
  6. Toggle on the Active checkbox.
  7. For Type, select Email.
  8. Select In Progress as the Status.
  9. For Start Date, enter a date two weeks from today.
  10. For End Date, enter a date 3 months after the Start Date.
  11. Save your changes.

Notice that you can also set the expected revenue, budgeted cost, and actual cost of the campaign, along with other information.

Edit an Existing Campaign

In Donor Engagement, you can edit a campaign that you’ve already created to change the dates, status, or other information. Here you edit the 2025 Annual Campaign, which we’ve created for you.

Here’s how you modify an existing campaign.

  1. From the Donor Engagement App, select the Campaigns tab.
  2. Find the 2025 Annual Campaign and select Edit from the dropdown.
  3. Ensure that Active is checked.
  4. Ensure that the Status is In Progress.
  5. For Start Date, enter a date 1 month from today.
  6. For End Date, enter a date 4 months from today.
  7. Save your changes.
Note

Changes that you make to campaign fields may affect automation tools or trigger recalculations of campaign statistics. Make sure to check where your campaign is used, such as flows, before making changes.

Pretty simple, right? Now, you’re ready to add some outreach source codes to your campaign.

Create Outreach Source Codes

Assign outreach source codes to your campaign methods to help track the success of your efforts. For example, a campaign might have an outreach source code for your campaign’s mass mailings, another to track web advertisement, and one for a specific event. Outreach source codes give the people running your campaigns valuable information they can use to refine, target, and enhance communications to donors. Throughout the campaign, you can analyze the effectiveness of each source code and then decide if you want to keep using those methods for current or future campaigns.

Delaney creates source codes to track Astro University’s campaign methods, including a mass mailing strategy and a planned giving outreach effort to shore up long-term financial support.

Create two new outreach source codes, one for each of the campaigns you just worked on.

  1. Click the Outreach Source Codes tab, and then click New.
  2. For Source Code, select Enter the source code manually, and then enter 081325-CYM-1.
  3. For Name, enter Class Year Mailing.
  4. Make sure that the Status is set to Active.
  5. For Campaign, select 2025 Annual Campaign.
  6. Click Save & New.
  7. Repeat the steps to create another source code using these details:
    1. Source Code: 081325-PGO-2
    2. Name: Planned Giving Outreach
    3. Status: Active
    4. Campaign: 2026 Empowering Tomorrow Capital Campaign
  8. Save your changes.
Note

The example outreach source codes here use a basic naming convention that includes the date, an abbreviation, and an incremental number. Your institution may include other important identifiers such as the audience segment, the campaign name, the outreach type, and so on.

Now that Astro University has their campaigns ready to go, the next step is to set up Fundraising operations so that they can track where the gifts should go.
