Explore Order Payments
In the consumer goods (CG) world, customers generally avoid advance payments for their orders. Instead, they obtain items on credit from the manufacturers. Some customers set up credit limits, which define the maximum amount of credit they can receive.
When customers such as NTO place orders with manufacturers such as Alpine Group, they ensure they stay within their approved credit limits. When a customer’s credit limit nears the limit, they make payments for their orders and renew the credit limit. The process goes on in a loop and all the players in the industry plan their finances accordingly.
Sales reps receive notifications about customers who have insufficient credit limits. The reps collect these payments in the customer’s preferred payment method and provide documentation for the collected payments.
Sales Rep Chantelle, from Gustavo’s team, recently collected payments from NTO Store #201. Read along to see how she did this.
It’s a busy Monday morning. Chantelle gets into her car to start her daily store visits. She sees a notification on the CG offline mobile app regarding pending payments for NTO Store #201. Luckily, it’s the first store on her itinerary for the day. She smiles and starts her car.
At the store, Chantelle meets the store manager, and he agrees to clear the payment using his credit card. She swipes the card on her POS machine and hands him the invoice.
Chantelle wonders if there’s a way to record the payment quickly and easily in CG Cloud.
Create an Order Payment Template
Fatima creates an order payment template to define the payment methods for orders. Sales reps such as Chantelle can use this order payment template to record the payments they collect from customers.
- Click .
- Find and select Order Payment Templates.
- Click New.
- Provide the following details.
- Order Payment Template Name:
Credit Card Payment
- Sales Org: 0001
- Description Language 1:
Credit Card Payment
- Payment Method: Credit Card
- Expiration Date Required: Required
- Click Save.
Assign an Order Payment Template to an Order Template
Next, Fatima associates the order payment template with the order template for NTO stores.
- Click .
- Find and select Order Templates.
- Select the standard order template.
- Click the Related tab.
- In the related list Order Template Order Payment Templates, click New.
- For the order payment template, select Credit Card Payment.
- Click Save.
Assign Inventory Templates to an Order Payment Template
Customers make payments for orders that the manufacturer fulfills. Sales reps such as Chantelle constantly monitor the inventories to ensure seamless order fulfillment. As a result, admins such as Fatima find it crucial to associate inventories and order payments in CG Cloud.
Fatima has already assigned order templates to order payment templates. The final step for her is to link inventory templates with order payment templates.
To make inventory available for orders, Fatima assigns an inventory template and an inventory transaction template to the order payment template.
- Click .
- Find and select Order Payment Templates.
- Select the Credit Card Payment order payment template.
- Click the Related tab.
- In the related list Order Payment Inventory Transactions, click New.
- Provide the following details.
- Inventory Control Template: Groceries
- Inventory Traction Template: Initial Transaction
- Select Active
- Click Save.
Success at Your Fingertips
Fatima has finally completed the order setup in CG Cloud. Sales reps such as Chantelle can now create orders using the order templates Fatima has created. Sales reps can also record information about order items using order item templates, track inventories using inventory control templates, and collect payments using order payment templates.
Sales managers such as Gustavo can find all the information at their fingertips and analyze the data to plan for better sales and promotions. In short, Fatima, through her diligent efforts, has paved the path for success for Alpine Group.
