Work with a Lead Record

Learning Objectives

After completing this unit, you’ll be able to:

  • Describe the purpose of the lead record.
  • Edit the details of a lead.
  • Review past interactions associated with the lead.
  • Update the lead record status.

What Is a Lead Record?

A lead is an individual or organization that has expressed interest in your product or service—think of this as a potential business deal. Every lead has an individual record that contains the details about the lead. You can complete numerous actions such as editing details, updating the lead’s status, and reviewing past activity from the lead record. 

Edit the Details

  1. With a lead record open, find the details about this lead record.
  2. Click the pencil icon to the right of the Description field.

  3. Enter a new description for this lead.
  4. Click Save.
  5. Click the Edit button at the top of the lead record.
  6. Adjust any of the fields.
  7. Click Save.

There are multiple ways to edit your lead record. Keeping lead details as accurate and updated as possible is imperative as these details help turn these leads into future sales.

Review Past Activity

  1. In the activity section, click New Task. (You may also have to click Create a task….)
  2. Select a Subject and enter a Due Date.
  3. Click Save.
  4. At the bottom of the activity section is this lead’s activity timeline. Your newly created task is now listed on this timeline. All logged communications and tasks associated with this lead appear here.

Move the Lead Through the Process

You may have noticed that there’s a progress bar across the top of the lead record. This is a visual indication of where this lead is in the opportunity conversion process.  

  1. To move this lead to the next step, select a status and click Mark as Current Status.

  2. To convert this lead, click Converted on the progress bar. Then click Select Converted Status.
  3. Every converted lead has to be associated with an Account. On the Convert Lead screen, create a new account or associate this converted lead to an existing account.
  4. A new contact and opportunity will also be created (unless your admin has set up your org not to do so).
  5. Select the Record Owner and Converted Status. Click Convert.
  6. A recap of your converted lead’s associated information will be displayed, click Go to Leads to go to the Leads list view.
    Note: Since this lead has been converted, it will no longer appear in your open leads list view. However, the new account, contact, or opportunity record created from the converted lead is searchable.

As you can see, the lead record is incredibly important for managing potential deals. Be sure to keep exploring, as there is even more that can be done within the lead record.
