What Is a Lead… and a List View?
Salesforce is all about, well… sales. And leads are the primary building blocks of sales. A lead is an individual or organization with an interest in what you are selling. To see lists of your leads, you use a list view—a view that shows all lead records. List views are dynamic, so if a lead is deleted, the list view automatically reflects the changes. Numerous actions like filtering, creating, and updating can be done from the leads list view.
Filter Results
- In most cases, your list view defaults to Recently Viewed. To toggle to a different list view, click the down arrow next to the list view name and select All Open Leads.
Note: If there are only two options in your list view, My Leads and My Important Leads, it is because the Intelligent Leads view is enabled in your org. Click the List View button in the upper right corner to toggle back to the standard list view.
- Click the Filter icon.
- Click Add Filter.
- Select Annual Revenue from the Field picklist to create a list view based on revenue.
- Select greater or equal from the Operator picklist.
- Enter an amount in the Value field.
- Click Done.
- Click Save to apply the filter to the list view.
- To remove the filter, click Remove All.
- Click Save.
- To close the Filters panel, click the X.
Filtering is most powerful when there are numerous records. Try adding a new lead or two using the New button. Adjust your new filter to see the power of filtering. Additional filters can always be added if you need your list even more refined.
Create a New List View
- Click the List View Controls icon.
- Select New.
- Enter a new name in the List Name field.
- The List API Name is auto-generated.
- Select who should be able to see this list.
- Click Save.
Choose Fields to Be Displayed
- Click the List View Controls icon.
- Click Select Fields to Display.
- Move 1 or 2 fields from the Visible Fields to the Available Fields.
- Click Save and notice that the fields you removed are no longer visible in this list.
Update the Status of the Lead
- With your list view open, click the checkbox next to one or many lead records.
- Click Change Status.
- Pick a new status from the Change Status picklist.
- Click Save.
Change the Owner of the Lead
- With your list view open, click the checkbox next to one or many lead records.
- Click Change Owner.
- Enter a Salesforce User’s name and select their name.
- Add a check to the Send email notification checkbox to alert the new owner of this lead transfer.
- Click Submit. If you’re viewing the My Unread Leads list view, this lead is no longer part of this list view as it’s no longer a lead owned by you.
As you can see, the leads list view is incredibly powerful and flexible. Be sure to keep exploring as there is even more that can be done within the leads list view.
