Create and Configure Multisite Quotes

Learning Objectives

After completing this unit, you’ll be able to:

  • Outline the process for creating multisite quotes.
  • Create and manage quote groups.
  • Assign products and services to quote groups and individual quote members.
  • Configure products and services for quote groups and individual quote members.
  • Review the multisite quote.

Multisite Quotation Process

Sophia is ready to learn all about creating Industries CPQ multisite quotes and orders. Luckily for her, this process is almost the same as the single-site quote-and-order process that you learned about in Industries CPQ Order Capture. The only differences are two extra steps: defining the customer sites and grouping the quote members.

Now that you have a high-level understanding of the process, let’s take a closer look at some key functions.

Multisite Quote and Order Creation

You can create multisite quotes and orders quickly from an existing opportunity. If you want to skip the quote process, you can go directly to creating a multisite order. This process is customizable to suit your business requirements.

Here’s a screen capture of an Opportunity record, from which you can create new multisite quotes and orders.

New Multisite Quote in dropdown menu on opportunity screen

From the relevant opportunity, select the New Multisite Quote action to start the guided process. The image below shows the Create Multisite Quote screen with example values.

Create Multisite Quote screen

Enter the quote name (1) using your organization’s naming convention. In this example, the quote name is Acme Az and Ca Sales Tablets. Next, enter a record type (2), and choose a price list (3).

  • The Record type is Parent Quote, as the example shows. This is the default value for the out-of-the-box multisite setup, which creates a parent quote with an associated child quote for each quote member. Your implementation team may add custom options to suit your business requirements.
  • The price list is B2B Price List, which filters the products and prices to show those available to the customer. The training playground provides two price lists: B2B for business customers, and B2C for consumers. You may have many different price lists in your organization.

If you’re ready to create and configure groups now (4), choose Yes. Select the items you want to group (5). In the example quote, Service Point is selected, but you can also group by premises, service account, subscriber, or location.

Multisite Quote Groups

If you want to use the guided quote-creation process, create the groups before accessing the Group Cart.

Choose the items to group, such as premises or service accounts. Group items step screen in the multisite quote creation workflow

Because you chose service accounts in the previous screen, you see options for grouping service accounts (1). From the list of account members, select those to include in the group (2). Use the filters to refine the member list. Next, select the group from the dropdown list, or click Add New Group (3). The New Group screen displays. New Group screen for Acme California Offices

Enter a group name and description. The new group now appears as an option on the group items screen. Add or remove group members any time during the quote process.

Products for Quote Groups

Multisite quotes and orders use a special cart called the Group Cart. Take a look at the example screen. Group Cart example showing how to add Blast! Pro Internet to the California Offices group

The tabs in the Group Cart display the different types of group members, such as Service Points and Premises, which are available to add to the quote. You may have one or more of these group member tabs depending on your business requirements.

To configure a product or service for a group:

  1. Select the group in the Group Cart (1). Here the service account group California Offices is selected from the group menu.
  2. Select and configure the product or service from the catalog you want to apply to the group (2). Here, Blast! Pro Internet is selected to add to both California Offices.
  3. Click Apply to Members (3) to add the product or service to each member’s Cart.

In the group selection box, all members in the quote group have a status of Applied shown in green to specify that the quote items are applied.

If your organization uses Industries CPQ promotions and discounts, you can also select and apply them to groups. You can amend products, services, promotions, and discounts from the Group Cart for the entire group.

What if only the Alameda office wants to add a video streaming service? Easy! Open the Alameda office quote from the group menu in the Group Cart, and then add, configure, and price products in the child quote. Any pricing and quantity changes you make in the individual child quotes automatically update in the parent quote.

Quote Validation and Pricing

As you add items to the Cart, you may receive alerts for invalid or missing information. If this happens, the Apply to Members button deactivates to stop you from applying inaccurate product configurations.Grayed out Apply to Members button in Group Cart

Resolve any errors as you would for a single-site quote. When the Apply to Members button activates, you’re ready to add the item to the group and validate and price the quote.

Validate and Price button on the California Offices Group Template

Use the Validate and Price button to check the configurations and update pricing. For large quotes, this may take a bit longer. Then manually adjust pricing for all members of the group as you would for a single-site quote.

Pricing and Validation Status

Once the pricing is valid, you can check the group and members status, as this example screen shows.

Green checkmark next to the Service Points Group 1 and Applied status next to each member in the Group Carts tab

Click the group menu in the Group Cart. Notice the Service Points Group 1 has a green check, and each member has a status of Applied.

Alternatively, view the group and member statuses from the member list. In this example, the list of service accounts appears on the quote.

Notice all the service accounts with valid, priced quotes have green checkmarks.

Once all the groups contain valid, priced products, the Create Order button activates in the Cart header.

You’ve just learned how to create a multisite quote. Pretty cool, right? Next, you find out how to update existing quotes.

Existing Multisite Quote Amendments

You can amend quotes from the parent quote, group quote, or child quotes. Industries CPQ automatically creates one parent quote and all the associated group and child quotes as part of the multisite quote process. This example shows one quote for each quote group member.

Access child quotes directly from the quote list. The example above highlights the parent quote.

If you frequently work with multisite quotes and orders, you can amend your quote and order lists to include the order or quote record types. This helps you find parent, group, and child quotes and orders easily.

Access group quotes and child quotes from the group menu of the parent quote, as shown here.

Group menu and search results showing Arizona Offices service accounts

Open either the California Offices quote or the Arizona Offices quote. Expand a group to open the child quotes for Acme Phoenix and Acme Tucson Offices.

Any changes to child quotes automatically reflect in the parent quote. Likewise, when you apply changes to members, the child quotes are updated.
