Discover Dynamic Assessments

Amelia Zhu is public sector inspector for Cosville. You met her in the Inspections with Public Sector Solutions module, when she conducted an onsite inspection in response to Susan Adam’s business license application for a new salon. She used the compliance checklist on her mobile app to sail through the inspection visit.

However, Amelia’s concerned that not all inspection visits are going to be this easy. Inspecting a business or residence for the issuance of a license or permit can be a complex process. Verifying that an establishment meets regulatory codes often involves more than just checking off boxes on a form. Luckily for Amelia, Public Sector Solutions offers dynamic assessments. 

In the Inspections with Public Sector Solutions module, you met Inspections and dynamic assessments, learned the differences between them, and found out when to use them. You also looked at Inspections in detail and created a compliance checklist for conducting inspections with Public Sector Solutions. In this module, you do the same but with dynamic assessments. 

Dynamic assessments guide inspectors, intake officers, and caseworkers through a series of detailed questions and tasks based on conditional logic and dependencies. This way, you ask the right questions to gather data and ensure complete, thorough, and accurate inspections. Dynamic assessments are available for visit-based and non-visit-based scenarios.

Here’s a checklist built with dynamic assessments. An inspector uses it to determine whether the establishment complies with regulations, such as fire safety and building standards.

In this dynamic checklist, how the user answers certain questions determines which questions appear next. For example, this table shows each inspector’s response choice for the first fire safety assessment question, and how the form behaves depending on the answer.

A follow-up question appears to ask how many violations the inspector found in the previous inspection.

From the dynamic form, inspectors can quickly reference associated regulatory codes with detailed standards for compliance. This includes building codes, fire codes, and occupational safety codes. You learn how to set up regulatory codes in the next unit.

Sign Up for a Developer Edition Org with Public Sector Solutions

We don’t have any hands-on challenges in this module. Still, if you want to practice and try out the steps, you need a special Developer Edition org that has Public Sector Solutions installed along with dynamic assessments and all our sample data. A regular Trailhead Playground doesn’t have dynamic assessments for Public Sector Solutions or the sample data. Here’s how to get the free Developer Edition.

  1. Sign up for a free Developer Edition org with Public Sector Solutions.
  2. Fill out the form.
  3. For Email, enter an active email address.
  4. For Username, enter a username that looks like an email address and is unique. It doesn’t need to be a valid email account (for example, yourname@hc4evah.com is fine).
  5. Click Sign me up. A confirmation message appears.
  6. When you receive the activation email (this might take a few minutes), open it and click Verify Account.
  7. Complete your registration by setting your password and challenge question.

Write down your username, password, and login URL for easy access later.

Configure Your Org to Use Dynamic Assessments

Dynamic assessments use Discovery Framework, a data model that allows you to efficiently collect and manage form data with Omnistudio. Here’s how Tishon enables Discovery Framework.

  1. From Setup, in the Quick Find box, enter Discovery Framework, and then select General Settings in the Discovery Framework node.
  2. Turn on Discovery Framework. When it’s enabled, it looks like this.

Next, Tishon creates a permission set with the Industries Assessment permission set license and assigns it to a user profile. 

  1. From Setup, in the Quick Find box, find and select Permission Sets.
  2. Click New.
  3. On the Create page, enter these details:
    1. For Label, enter Industry Assessment, and then press the Tab key to auto-populate the API Name.
    2. For License, select Industries Assessment.
    3. Click Save.
  1. On the Industry Assessment permission set page, click System Permissions.
  2. Click Edit, and then select the Enabled checkbox for Discovery Framework Platform User.
  3. Click Save.

Next, Tishon assigns the needed permission sets to the user.

  1. In the Quick Find box, find and select Users.
  2. Click the name of a user with the System Administrator profile.
  3. In Permission Set Assignments, click Edit Assignments. The Permission Sets page opens with available permission sets on the left and enabled permission sets on the right.
  4. Add Action Plans, Dynamic Assessment Access, Industry Assessment, and Omnistudio Admin to the Enabled Permission Sets.

  5. Click Save.

Woohoo! Tishon is now ready to use dynamic assessments in her org. In the next unit, you follow her as she builds the initial dynamic assessment components: question categories, questions, and regulatory codes.
