Assets in Revenue Cloud

The International Standard for Asset Management Systems outlines asset lifecycle management as a systematic and structured approach to managing the lifecycle of assets—from acquisition, operation, and maintenance to eventual disposal. Simply put, it’s your company’s plan to make sure you look after your product, from the moment you sell it to the day you discontinue it.

That’s a long journey, starting with a single transaction. And it can get pretty intense. Revenue Cloud is built to support you through the entire process. Before diving deeper, learn what exactly is an asset.

In Revenue Cloud, you can treat anything you sell to a customer as an asset. That can be a product, a service, a subscription, or even a bundle that includes a mix of those. No matter what it is, you can track it. So you always know what’s been sold, what’s active, and where everything stands.

A Comprehensive View of Managed Assets

Chris Thomas, the sales rep at SmartBytes, recently closed a deal with Capricorn Coffee to equip its new offices with the electronic infrastructure it needed. The team at Capricorn Coffee shared their requirements, reviewed the proposal, signed the contract, and received their assets. The entire process was smooth from start to finish, and now they’re preparing to support the city’s growing community of coffee lovers.

But how was this journey for Chris? With Revenue Cloud’s CPQ process, every step from creating quotes to generating contracts and submitting the order was clear and efficient. After fulfillment, Chris views the complete story of Capricorn Coffee’s assets in the Assets section of the account.

Begin by examining one of the assets and the insights it provides Chris. Capricorn Coffee purchased five QuickBooks Online licenses to support accounting and financial reporting across its newly launched offices. All five licenses are currently in use, so the Current Quantity is 5. The Current Monthly Recurring Revenue is $20.83, representing the ongoing monthly charge for the subscription. The service begins on August 10, 2025, and runs through August 10, 2026, marking the full duration of the asset’s active period. Capricorn selected a renewal term of one year, meaning the company can extend the subscription for another year. The Total Lifecycle Amount, reflecting the full value of the subscription over the active year, is $249.95.

The Anatomy of the Assets Page

On the Assets page, the Managed Assets section provides an overview of all the assets associated with an account or a contract. To view the details of a specific asset and explore its attributes, click Show more actions next to it and select View.

This opens the asset page, with the Details tab selected by default. This tab displays key information about the asset.

To explore related data, go to the Related tab. Here, you find all associated objects: contracts linked to the asset, uploaded files, cases filed against it, and, crucially, Asset Actions and Asset State Periods. These objects are particularly significant for tracking the asset’s lifecycle and history. Asset Actions records every change made to an asset on a specific date. The first action typically reflects the asset’s initial sale, as indicated in the Business Category column. Thereafter, any modification, be it an upsell, downsell, cross-sell, cancellation, transfer, or renewal, generates a new asset action. This chronological log offers a transparent view of the asset’s lifecycle, so you can trace each adjustment with clarity.

Asset State Periods define the time spans during which an asset maintains a consistent quantity, amount, and monthly recurring revenue (MRR). Every time an asset action occurs, updates to start periods are made to reflect the quantity and configuration of the asset at various points in time. Over its lifecycle, an asset accumulates many state periods, painting a time-based picture of its evolution.

So how do you use Asset Actions and State Periods in the asset management process?

By examining Asset Actions, you gain a step-by-step history of every change the asset has undergone. This is crucial for preparing for renewals, addressing support issues, or identifying new sales opportunities. Asset State Periods complement this by providing a clear, time-bound view of the asset’s quantity and value at every stage. Together, these tools offer a comprehensive understanding of each asset’s journey.

If the Related tab provides the detailed timeline of an asset’s lifecycle, the Dashboard tab brings that journey to life visually. It offers a clear, intuitive representation of where the asset currently stands, alongside a historical view of how its quantity evolved.

Use this important data to provide personalized, informed support tailored to each customer.
