Apsona for Salesforce

Welcome to the Apsona Trailblazers community. In the spirit of Ohana, ask questions, find resources, help others, and share your own experiences. Apsona excels in Data Maintenance and Cleansing, Document and Email Merge, and Complex Reporting requirements.

We do outbound granting and had a consultant steer us towards Grants Management with OFM (since we're on NPSP and don't plan to move to NPC). We are really struggling with this tool as it's not all that Salesforce seemed to promise, and even Salesforce can't really explain the pricing and license structure and it's been a beast to build, requiring me to pay 2 separate consultants!

We want to be able to generate Grant Agreement documents for signature from the Funding Request record in Salesforce, populating the relevant merge fields. DocuSign is really expensive and we're exploring other options. Any suggestions? Conga? PDF Butler? Also, if anyone knows a tool where you can even incorporate a spreadsheet that's attached on the SFDC record into the document, that would be a bonus.

Thanks!

Amy

    @Amy Frankel

I'm a little late on this, but I wanted to share that we worked with a org that had a similar need and ended up using Conga. Not sure if they actually ended up doing the e-signature part but it was great for all the complexities of a grant agreement mailmerge...

Feel free to DM me if you want to know more! We work with lots of conservation-focused nonprofits so I'd love to connect and hear how things are going.

Hi,

I would like to use a Custom Setting as a filter term value in a Multi-Step Report.

Is there a way to:

a) Specify a Custom Setting as  value in a Filter?

b) Access the Filter Term of a MSR through a flow so that when a user sets the Custom setting, the MSR's filter is automatically updated?

Regards,

Meherab

Hi @Pierre Desjardins unfortunately this is not something the Engineering team has been able to prioritize. But we are starting up a new Feature Request / Roadmap page and are encouraging folks to submit requests and upvote them. We have this request in our internal system but not yet in the public facing page. Feel free to create an account and write up the request: https://roadmap.apsona.com/

I am starting to implement this process but again as a newbee.

If anyone among you has been able to do it completely, I would be happy to benefit from your advice.

I mainly have issues with fields mapping and generating reports.

And the final step will be sending the tax receipts by email.

Thanks already for your support.

Very best

Is it possible to do a bulk update of a related field of an ID? E.g., if Organization (Id) is a field on the record, is it possible to update a field on the record to the Organization Name? I only see the Organization field in the "Fields" dropdown. I looked in the documentation, but there are no similar examples in the Bulk Update section.

That’s funny-I needed the same type of thing last week! They don’t have it but I did make a feature request.

Can you do it in Apsona via Export (the record id, the parent Org Id, the parent Org Name) and then import/update the field with Apsona’s Import/Update tool instead?

Agree it would be nice to have in the Update Field option.

After deleting an engagement plan, the tasks are still assigned to me. We are building out our Salesforce instance using the Non-Profit success pack. I built a few engagement plans in order to walk through it and create a how-to guide. Once I deleted the TEST engagement plan, I noticed that all of the tasks were still assigned to me. I had to delete them one by one. Does anyone know a way to automatically delete tasks once you delete an engagement plan or do a mass delete?

We faced the same issue, so I added a query in the Data Loader to filter tasks with the condition WHERE Status != 'Completed' AND (Subject = ' ' OR Subject = ' '). The task Subjects were pulled from the Engagement Plan Tasks, which helped me narrow down the specific tasks to delete.

I have a single step opportunities report. I am doing a doc merge to create invoices as separate pdf files. I would like the file name to be the Account Name + Current Date. Ex. Kazoo_Sales_Inc_2025_02_12. Account Name is a column in the report. Can I achieve this with a calculated field? I can't find a way to pull in the current date. Is there a better way to achieve this?

We are currently in the process of migrating from Salesforce Classic to Lightning Experience and are encountering some issues with the functionality of our Apsona tools. Specifically, we are trying to replicate the behaviour of the Mail Merge button in the Lightning list view, which works perfectly in Classic.

In Classic, we had a custom button on the List View for Accounts (and other objects) that allowed users to directly perform a mail merge action. However, in Lightning, when attempting to implement a similar feature, the button redirects users to an Apsona app page instead of performing the action directly in the list view as before.

  • Desired Behavior: Button should allow users to perform mail merge directly from the List View, similar to how it worked in Classic.

Could you please provide guidance or steps we might follow to achieve this functionality in Lightning? Additionally, if there are new features or updates in Apsona that we should be aware of for better integration with Lightning, that information would be greatly appreciated.

Thank you for your assistance.

Warm regards,

Divya

@Divya Jyothi Yaddula I know we've talked so just posting here for the sake of others: Currently in Lightning, you can create a merge button directly on record pages but since Lightning list views are not exposed in Salesforce's API, Apsona can not access them and thus a merge button on a Lightning list view is not currently possible. You can create list views from within Apsona and run merges from there. You can also embed Apsona list views throughout Salesforce via a Visualforce page and you can include merge buttons there. If anyone is interested in learning more feel free to email support@apsona.com or visit out Office Hours which are detailed up in the "Group Information" section on this page.

We understand from Apsona that currently Apsona's Batch Gift Entry is not compatible with Nonprofit Cloud (NPC)

Would we still be able to use Apsona on NPC cloud to produce annual pledge(commitment) statements or is there a dependency.

Hi all -

I've had Apsona for a long time, but really only used it for mail merge buttons. I now realize I need to put effort into reporting and other features.

I'm curious because I can't seem to find any documentation - can Apsona report on Pardot data now that it's fully integrated as 'Account Engagment' in Salesforce?  I'd really like to cross SF data and AE data in one report.

Thanks!

Hi folks, I was alerted to the fact that these Trailblazer posts stopped flowing into our support ticketing system as they used to. I apologize for the delay in this response. @Rachel Ciprotti is correct. Pardot and Marketing Cloud are external applications that use a sync to communicate with Salesforce. I don't know too much about how these tools work under the hood. If there is a true object in Salesforce directly like "Account Engagement" then yes Apsona can report on it. Apsona has access to any object in Salesforce standard or custom. If you don't currently see it in Apsona you may just need to add it through your Configuration. But if this is not a true object, but just some sort of exposed data from Marketing Cloud, then Apsona can't get to it and can't report on it. If you have follow up questions, feel free to email support@apsona.com or come to our live office hours detailed up in the "Group Information" section on this page.
