Is anyone using SoftDocs for enterprise document management? We are currently in Education Cloud and storing documents in Salesforce. Students are uploading through an Experience Cloud site and internal users are uploading directly in Salesforce. From what I understand, our current process will no longer work (if we go with SoftDocs) and we'll have to reconfigure all our Ed Cloud automations that update our application and document checklist items based on document uploads because all uploads will be required to go through SoftDocs. I can't figure out how we will allow students to upload documents through the portal.

Hi @Suzie Dusek, jumping in late here. Since your goal is to reduce systems and have a true enterprise document management platform, I would first look at the architecture rather than just the migration process.

The question is not only how do we move Salesforce Files to SharePoint? It is how do we ensure Salesforce workflows, Experience Cloud uploads, document access, and governance continue working after the move?

The ideal flow would look like:

Student uploads document through Experience Cloud → document is securely stored in SharePoint → Salesforce maintains the relationship and triggers the required Education Cloud workflows.

Many Education Cloud checklist automations are built around Salesforce file records like ContentVersion or ContentDocumentLink. So before making any move, I would validate whether the document solution can continue creating the Salesforce-side updates your existing automations depend on. That can make the difference between a smooth transition and rebuilding years of workflow logic.

For existing Salesforce Files, the migration itself is only one part. The important pieces are preserving record relationships, metadata, permissions, and making sure users can still find and work with documents from Salesforce after they are moved.

I would also evaluate whether the solution only provides access to files stored in SharePoint or whether it supports the complete document lifecycle inside Salesforce. In higher education, documents are not just stored files. They are uploaded, reviewed, shared, organized, processed, used in workflows, and often generate additional documents throughout the student journey.

This is the approach we have taken with CloudFiles. CloudFiles keeps SharePoint as the enterprise source of truth while giving Salesforce teams a complete document experience within Salesforce, including Experience Cloud uploads, document organization, sharing workflows, automation, document generation, and AI-powered document processing.

I’m the founder of CloudFiles, and my team would be happy to help you map your current Education Cloud setup and identify the cleanest path forward, including what can be preserved, what needs adjustment, and how to avoid introducing another document silo.

Hi Nonprofit Community! Weekly Roundup - July 31

WOW... last day of July! Let's take a look at what's going on in the Nonprofit Salesforce world this week! Chime in on the comments if there are other hot-topics you'd like to share too :)

🔒 ICYMI: Experience Cloud Guest User Security Reminder

  • Salesforce recently shared an important update on securing Experience Cloud guest user access. If you haven't already, review the Trust Site post and this blog on protecting your data to validate your guest user configuration.
  • While you're at it, this is a great time to make sure your org has a Security Contact set up and that you're subscribed to receive these kinds of security updates directly.
  • Questions? Log a support case, or check out the on-demand video series on building a secure org.

What's new

  • New webinars added below: Tableau+: The Future of AI Analytics (Aug 5) and A Reality Check on Agentforce Nonprofit - look for it twice this month, Aug 6 and Aug 20 (a popular one!)
  • 13 new LATAM Spanish-localized certification exams are here! Not nonprofit-specific, but sharing the update from the Trailhead team.

📌 Heads up: Nonprofit AMA schedule shift in August

  •  AMER and ANZ AMAs are happening earlier in August to avoid overlap with the Virtual Sprint (Aug 11–12) and my upcoming PTO (Aug 15–28).
  • EMEA AMA is the 3rd week of the month, as usual!

Hi Nonprofit Community! Weekly Roundup - July 24

Hi crew! Happy Friday! We had a lovely chat this morning in Coffee Chat (our Friday hangout - open to all if anyone ever wants to join!) with a bunch of you. These are always a fun time of the week to wind down together - I get to hear what you're all thinking about, talking about, but also just time to connect. One moment we're talking about Chia Pets, the next @Dar Veverka is dropping knowledge about the percentage of households that are single-person (more than you'd think!).... Alright, now let's dive in!

What's new

  • New Community Sprints announced! The Nonprofit Community team announced for events for the rest of the year! @Cori O'Brien and I are heading to Amsterdam (Oct 19-20) & San Francisco (Nov 9-10) later this year after Dreamforce, we hope to see you at one of our upcoming Sprints (these are kinda like hackathons)! Can't join in person? We have the Virtual Sprint (Aug 11-12) coming up too!
  • New Hands-on Workshop for Premier & Signature Admins: Secure the Org: Find and Fix Vulnerabilities (ADX012). Not Nonprofit-specific, but wanted to flag it in case you missed it — check it out if you're on Premier or Signature. See the update!
