I'm using Tableau Server 2018.2.2. I have my pilot group using the COMMENT section to describe specific viz modifications they would like made.

 

I know I can't address all observations at one time, which is why my viz changes will be done in stages. I'm assuming that once an overwrite is made, associated comments will also be cleared. Is this true?

 

If so, what is your recommended procedure for addressing and implementing what could be a long list of modifications, while still giving users access to the observations made by their peers?

  • Make changes to a copy of the viz and upload only when the reveal is ready.  

    PROS: likely the best choice as comments are unaffected by temporary updates 

    CONS: observations(whether completed or not) will be wiped when the viz is replaced
  • Transcribe the comments and work from there (while I'll probably use this option just so I've recorded them and can flag them for importance, status, and so on)  

    PROS: Gives solid to-do list charting multiple flags of development 

    CONS: Comments will still be lost once I update the viz (I think)
  • Refer to past versions of the viz (I don't know if the comments will be preserved in these, I imagine so). 

    PROS: Gives me access to all commentsCONS: Views to comments, which are helpful to the pilot group, will not be readily available
  • Use a third party program as a discussion tool for the dashboard. (Let me know which you recommend) 

    PROS: comments remain in place and can be edited 

    CONS: not all are skilled using such programs; it may not be intuitive to jump between Server and the note board

 

If comments don't go bye-bye when I upload a new version of the viz, then I'm in luck! Thank you for your thoughts

    Hello Michael,

     

    I will do my best to provide all the answers to the questions above and provide some insight into how I personally handle version changes to my workbooks.

     

    First off, when you re-publish a workbook with the same name the comments will be preserved. What I do to maintain a change list for the workbook is add it to the "Description" section of the workbook when publishing. Then each time I publish an interation, I add a note with the date and what was changed. This also keeps the comments clean and solely focused as a discussion place for the viz.
