Build a Clear Path to Student Success

Salesforce Advisor Link simplifies student support by empowering students with access to tools designed to help them succeed. In this unit we cover several Advisor Link tools: Success Teams, Early Alerts, Success Plans, and Pathways.

Success Teams

One of the most common reasons students don’t reach out to advisors is that they aren’t sure who the appropriate person is. Success Teams let students know exactly who in the campus community is there to help them with particular issues. Advisors can also see a student’s success team and guide them to reach out to the appropriate person when needed.

To assist students in reaching out for support, the option to make an appointment is available on the Success Team view. Advisor Link makes connecting with a team member as easy as clicking a button.

In order to set students and staff up for a successful meeting, appointments can be customized as necessary. For example, advisors can set the appointment length based on their advisees' needs, like scheduling a quick course approval appointment and a longer degree planning session.

In the Student Engagement with Education Cloud module, we showed you how Salesforce Communities provide support and information to your campus community. With Advisor Link, communities are the key to connecting students to the support resources outlined above. Once the community is live, students can find their success team’s contact information and schedule an appointment with a team member from their mobile device or desktop.

Early Alerts

Early alerts allow advisors to put their expertise and experience to work to keep their advisees on track. Advisors know the first signs that a student may need additional support. Early Alerts let advisors create notifications based off of these trigger events and create manual or automated alerts so no student falls through the cracks. For example, the academic advisor will be notified if a student misses more than three classes, since the student is moving towards the “at-risk” category.

At Cloudy College, Valerie knows that when a student misses four or more classes in a given course, the likelihood of passing that course drops significantly. She sets up an early alert that notifies her when a student misses their third class. An automatic reminder is also sent to the student to tell them to make an appointment with her.

Advisors can also create list views for common alerts to send a message to a select group of students. Valerie can use a list view to send an email to everyone who is currently in danger of failing a class or missing a deadline, without the time consuming task of reviewing each of her advisee’s records one by one.

Since most schools use a variety of tools to track and store student information, Advisor Link is built to integrate with other systems. In the case of Early Alerts, Advisor Link can integrate with a campus grading tool so course grades can be taken into account for alerts. Cloudy College happens to use PeopleSoft for entering student grades. Because Salesforce Advisor Link integrates with PeopleSoft, Valerie can set up an alert so she’s notified when a grade below a C is entered for one of her students.

Follow these steps to set up an early alert like Valerie’s (Optional).

  1. Go to either the Alerts list view or the Alerts related list on an advisee record case.
  2. Click New.
    a.  On the Alerts list view: New button on the Alerts list view

    b.  On the Alerts related list:

  3. Select the Alert record type.
  4. Specify the appropriate fields.

  5. Click Save or click Save & New to save this alert and begin creating another one.

Leave this field as is. It's typically updated automatically based on the Status field.

Specify a case only if you want to relate the Alert to a case that is not the advisee record case, such as a facilities or services ticket.

Success Plans

Success plans capture the steps of any process in a series of tasks. For example, an advisor can create a success plan for the study abroad application process, for applying for a research grant, or completing academic probation. With a success plan in place, students and their advisors can collaborate and easily keep track of what has been completed and what still needs to be done. Advisors can see when tasks are completed or when they are past due right in the console, and students can see the plan in their community.

Success plans allow advisors to work with other advisors in the student’s success team to organize and recommend tasks to the plan. Oftentimes success plans address common student issues. Success plans can be templatized, so advisors don’t have to start from scratch each time they create a plan for a student.

Pathways

Pathways are a degree planning tool that gives students and advisors the chance to collaborate on planning with the help of a visual aid. Students can plan out a semester, a year, or a full four years in Pathways. They can see degree requirements, organize classes they’d like to take, and see the credit load they’d need to maintain each semester in order to graduate on time.

Let’s check back in with Valerie Keckler, an advisor at Cloudy College, to see how she uses Pathways. Today Valerie is meeting with freshman advisee Stuart Sandlin. Stuart is trying to decide whether to pursue a degree in Economics or Computer Science. Using Pathways, Stuart can see the core requirements and course loads for both degrees. He can look at the pathways with Valerie and discuss specific concerns, like which electives are available to him and which degree offers him more opportunities to learn in lab courses, which he loves. Seeing the degree pathways visually makes it much easier for Stuart to understand what his student journey might look like and helps Valerie answer questions that may not have come up otherwise.

Advisor Link tools like Success Teams, Early Alerts, Success Plans, and Pathways empower advisors to help students navigate their student journey with confidence. Informed by the 360-degree view of each student, advisors can leverage Advisor Link to drive student success and engagement like never before.
