Upload Quotas

Learning how to upload and update quotas in bulk is critical for efficiently managing user performance targets across months, quarters, or years. Accurate Salesforce Spiff quota uploads help track achievements and ensure smooth commission calculations.
Add New Quotas
To add new team assignments:
- Navigate to Users under the Admin tab.
- Click Quotas in the left panel.
- Click the upload icon
near the top-right corner of the screen.
- Select Download the example file from the modal. The template has five fields, but the only required field for importing is user_external_id. This links the quota to a specific user in your system. The other columns allow you to input quotas for each month, quarter, or year by using the YYYY-MM-DD date format. To avoid formatting issues, it’s recommended to open the template with a text editor. Make sure to use the correct three-letter ISO code to designate currency values, and you can also indicate percentages by using PCT (PCT 20 is interpreted as 20%).
- Fill in the required fields for each new team assignment. If you choose to use Excel to input the data, remember that Excel may change the date formats when you open the file. To fix this, convert the dates back to the YYYY-MM-DD format by placing a leading apostrophe (') before each date ('2024-01-01). This prevents upload errors caused by incorrect date formats.
- Once your file is ready, click the upload icon, then either browse your computer for the file or drag and drop it.
- A notification confirms the upload is in progress.
- You can monitor the upload status on the File Import Status page, accessible via a link in the notification. This page provides important details, including any errors encountered. If the file contains any errors, only those specific records are rejected.
Update Existing Quota Records
To update existing quotas, the process is nearly identical to uploading new ones. However, instead of using the example file, it’s better to download the current quota records to ensure accurate edits.
To update existing quota records:
- Navigate to Admin and select the Quota you want to edit.
- Click the download icon
in the top right of the table to export a CSV file of all existing quota records.
- Make edits to the existing records.
- Prepare the file for import. To ensure successful imports, it’s best to keep the format as close as possible to the example file. Remove any extraneous columns that are not needed for the import. These columns should be removed:
- User Name
- User Email
- User Name
- Rename the remaining column headers to match those in the example file. Alternatively, you can copy the records from the exported table and paste them into the example file.
- Once your file is ready, click the upload icon, then either browse your computer for the file or drag and drop it.
- A notification confirms the upload is in progress.
- You can monitor the upload status on the File Import Status page, accessible via a link in the notification. This page provides important details, including any errors encountered. If the file contains any errors, only those specific records are rejected.
