Set Up Intelligent Form Reader

Enable Intelligent Form Reader
Intelligent Form Reader, available with an add-on license, uses machine learning to extract data from scanned medical documents. Users can specify the kind of document they are getting data from, and then map the fields in the document to the appropriate fields.
Haryette and her team can specify that a patient's birthdate as given in a referral form be stored in the Birthdate field of the patient’s Contact record. They can use the information extracted to create or update record fields, or to verify data that’s already in the org. For example, they can check a person’s birthdate on the Contract record against the birthdate in their scanned referral form.
The extracted data can be distributed to different objects that the users define so an uploaded file can provide content for multiple objects.
Here’s what Harryette does to enable Intelligent Form Reader.
- Clickand select Setup.
- In the Quick Find box, search for and select Intelligent Form Reader.
- Enable Enable Intelligent Form Reader.
- Under Maximum Pages, select a value or leave it set to default.
For forms that are more than one page, Harryette can specify the number of pages to scan. The pages will be automatically scanned when a user uploads a document. A user can scan a maximum of 5 pages at a time.
Intelligent Form Reader works with PDF, JPG, and PNG files. As for the languages in printed documents, it supports English, Spanish, German, Italian, Portuguese, and French. For handwritten documents, it supports only English.
Upload and Transform Documents
Let’s look at Intelligent Form Reader in action. Robert Smith is a patient who has an upcoming appointment with Bloomington Caregivers for immunization. Before the appointment, Bloomington Caregivers needs his Provider Referral Form. Robert has provided a PDF of his referral form, which has several other pages that are not necessary. Let’s follow along as Harryette uploads Robert’s form, processes it, and maps it to Robert’s Lead record.
- Click Received Documents.
- Click Upload Documents.
- Select the file to upload. Harryette selects Robert’s form.
- Once the file is uploaded, it’s visible in the Received Documents tab. Select the file from the queue.
- On the record page of the file, click the dropdown to the right and select Transform Document.
Harryette is now on the Transform Document window. All pages of the document appear as individual pages, which she can map to specific objects. She can also rotate the pages or split the document.
Harryette notices that the filled in referral form is on the second page, so she proceeds to map it with the Lead object.
- Select the referral form page. Harryette selects the second page.
- In the Associated Record field, click the dropdown to the left and select Leads.
- Search for and select Robert Smith.
- Click in the Document Checklist Item field.
- Search for
Referral Form
.
- Select Referral Form.
- Click Save.
The uploaded referral form is now successfully attached to Robert Smith’s record.
Harryette wants to verify if the right information has been entered. Here’s what she does to verify it.
- In the Document Checklist Items section, click the dropdown for Patient Referral.
- From the dropdown list, select Review Document.
The Review Document window shows her all the details that have been extracted and automatically entered. You can make changes if necessary.
You can repeat the process for any number of documents and patients. In the next unit, we explore how to accommodate new document types.
