Set Up a Portal for Independent Insurance Agents

Matt knows all about the power of Experience Cloud. Whether it's a portal, a help forum, a support site, or something else, Experience Cloud offers a beautifully branded digital experience connected to your CRM. 

Matt lets Corinne, the sales manager, know that there’s a portal now available that’s tailor made for the insurance industry. Corinne’s excited. Partner relationship management and channel sales are among her key responsibilities. Corinne is excited about increasing Cumulus’s (and that of partners like MaxProtect) revenue stream by collaborating on opportunities and deals. Through the portal, Cumulus can also quickly onboard partners like MaxProtect by sharing content and training materials.

Corinne works with Matt to create a feature-rich portal for Cumulus’s independent insurance agents. A dashboard with performance metrics, report charts, and action items helps agents like Marcello and Ridhima (at Cumulus’s distribution partner MaxProtect) monitor their goals and accomplishments, meet deadlines, and improve sales and service. With a comprehensive view of clients’ policies, claims, life events, or business milestones, and other related details, agents can stay organized, deepen client relationships, and better address client needs. Agents can use built-in Experience Cloud and knowledge management features to share knowledge articles with other agents and insurance carriers.

Create a Portal for Agents

Matt uses the Insurance Agent Portal Lightning template to create a portal for Cumulus’s independent insurance agents at MaxProtect. Key Insurance features and all Insurance Lightning components are available and fully functional in the Insurance Agent Portal template.

  1. From Setup, in the Quick Find box, enter Digital Experiences, and then select All Sites.
  2. Click New.
  3. Select the Insurance Agent Portal template, and click Get Started.
  4. Enter a Name and a URL for the portal, and click Create.
  5. Click Builder.
  6. Customize the portal to suit your business needs and click Preview to admire your handiwork before going live.
  7. Click Publish to make the portal generally available.

Grant Users Access to the Portal

To access the features available in the portal, users like Marcello and Ridhima need the Financial Services Community User permission set. Here’s how Matt sets that up.

  1. From Setup, in the Quick Find box, enter Users, and then select Users.
  2. Click the user that you want to give permissions to.
  3. Under Permission Set Assignments, click Edit Assignments.
  4. Under Available Permission Sets, select Financial Services Community User, and then click Add.
  5. Click Save.
Note

Assigning the Financial Services Community User permission set automatically assigns the user a Financial Services Community permission set license. The permission set also grants the user access to the objects and components in the portal. However, it doesn’t give any permissions on the objects. You give users create, read, edit, and delete permissions on the objects through user profiles or permission sets.

The default community profiles in the Financial Services Cloud don’t have permissions on the insurance objects. To use these profiles for portal users, grant them create, read, edit, and delete permissions on the insurance objects.

Grant Users Access to Producer and Insurance Policy Records

To view the metrics and charts on the portal home page, portal users like Ridhima and Marcello need access to records in the Producer and InsurancePolicy objects.

Matt grants Cumulus’s portal users access to Producer and Insurance Policy records that are associated with their accounts or contacts. Matt leans on a time-tested way of doing that: by using Sharing Sets. For more information on sharing sets, see the Share CRM Data with Your Partners Trailhead project.

And just like that, Matt was able to set up independent insurance agent access to insurance applications in Experience Cloud sites. This makes it easier for Cumulus to scale its operations by seamlessly distributing to partner sites.

The console app also unveils a unified, 360-degree view of policyholders’ policy info, coverages, claims, and even life events. This is possible because the console app provides a single frontend for multiple backend systems like policy admin, claims, and billing systems.

Policy data that previously lived in multiple disparate and antiquated systems can now interact with each other robustly, making it possible for Cumulus staff to truly understand and empathize with their client’s needs. And thus, Cumulus may have achieved the ultimate goal of client servicing: personalization par excellence.
