Sign Up Volunteers Through Your Website

Learning Objectives

After completing this unit, you’ll be able to:

  • Explain what happens in V4S when a volunteer signs up for a shift on your website.
  • Understand what is required when a volunteer signs up on the website.
  • Explain where to verify web signups in V4S.

Sign Up Volunteers

Let’s test out our website sign-up form by signing up a volunteer.

If you wandered away from your website, enter your site URL followed by /GW_Volunteers__VolunteersJobListingFS. You can find your site URL on the Sites page in Setup.

  1. Dianna is passionate about the Cheasty Greenspace project. Being an early bird, she signs up for the 10 AM shift. If you’ve created the same data as Dianna, go ahead and click sign up next to the 10 AM - 2 PM shift for Cheasty Greenspace. Otherwise, go ahead and click sign up next to any shift to follow along.
  2. In the form that appears, Dianna enters her contact information.

She’s using her actual email address so that she can also test the auto-email functionality.

Congratulations! You’ve gotten your first website volunteer!

Verify the Sign-Up in Volunteers for Salesforce

And finally, last but certainly not least, let’s look at the data that was created for you in Salesforce. The Volunteer Sign-Up form is smart enough to look for an existing contact with the same first name, last name, and email. If it doesn’t find one, it creates a contact.

Back in Salesforce, Dianna searches on her own last name, because that’s the name she entered in the Volunteer Sign-Up form. Voila! There’s the newly created contact record. Screenshot of newly created contact record.

Now let’s find the volunteer hours record for Dianna. Remember, we can see the Volunteer Hours related list from a volunteer shift page. Dianna finds the shift she signed up for under the Cheasty Greenspace volunteer job page. Follow along with Dianna by navigating to the volunteer job page for the shift you signed up for.

  1. On the Volunteer Jobs tab, Dianna clicks Cheasty Greenspace in the Recent Volunteer Jobs list. Screenshot of Recent Volunteer Jobs list.
  2. On the Volunteer Shifts related list, Dianna clicks the 10/1/2016 shift to get to the Volunteer Shift page.
  3. On the Related tab, look at the Volunteer Hours related list—there’s our record. Screenshot of Volunteer Record.

Check for the Volunteer Email

One last thing to check—the automated email that thanks your volunteer for signing up. If you used your own email in testing the sign-up page, look in your inbox now. You see something like this.
