Manage Quotas in Salesforce Spiff

After creating and assigning quotas, the next step is to learn how to manage these quotas effectively. This includes entering and updating values, adjusting table formats, and addressing any errors that may arise. Understanding these processes ensures that your quota management is streamlined and accurate, aligning with your organization’s goals and driving performance.

Quota Table Settings

Regardless of whether you’re viewing a quota table on the Quotas page or in Designer, the settings available are the same. Let’s explore these options to understand their functionality.

Entering Values

Once you set up your quota table and assigned users, the next step is to enter the quota values. To do this, click Edit Edid button on the quota table, which allows you to input values directly into the cells.

Drag and drop: After entering a value in a cell, you can drag the corner of the cell horizontally or vertically to quickly copy that value across other cells.

Copy/paste from a spreadsheet: Click the export icon export icon on the quota table. This maintains the order of users and any existing entries. You can update the data in your preferred spreadsheet, then copy and paste it back into the Quota table.

Uploading quota values: To upload quota values into tables, you typically follow a process that involves adding new records or editing existing ones. This is done by downloading a template, filling in the required fields, and uploading the completed file back into the system. The same process applies whether you’re adding new quotas or updating existing ones, ensuring that the format requirements are met for a successful upload. Changing Quota Display (Currency, Numeric, Percentage)

In addition to currencies, quota tables can display numeric values or percentages. This flexibility allows for different types of quotas, such as setting a meeting count for a sales development representative (SDR). To change the display format, click the Edit, then click the currency icon currency icon and choose the desired option from the list.

Adding Additional Currencies

To include additional currency options in your table, you first must upload or sync currency exchange rates. Once this is done, click on the currency field in your quota table to select the appropriate currency.

Modifying Quota Table Name or Cadence

To change the name or cadence of a quota table, click the gear icon gear icon. From there, you can make your adjustments. Be aware that some changes may require confirmation to proceed.

Note: The Salesforce Spiff system automatically updates the syntax within the quota functions in Designer to match any changes you make to a quota table’s name. This ensures calculations remain accurate and prevents errors due to name changes.

Exporting the Quota Table

Users with permission, such as the assigned representative, team leads, admins, or finance personnel, can export the quota table they’re viewing. To do so, simply click the export icon export icon .

Handle Missing Quota Errors

When working with quota tables in Spiff, you may encounter error messages related to missing quota entries. While these errors can be frustrating, they serve an important purpose in ensuring the accuracy of your data. For example, if you’re calculating attainment and see an error message like “cannot divide USD 101899 and null,” this typically means that a quota value is missing from the table. To resolve this, you need to enter the correct quota amount for the affected user.

It’s possible that these issues were anticipated when the administrator or partner set the plan up, with detailed instructions included in the error message to guide you in fixing them. Understanding these error messages and knowing how to address them is key to maintaining the accuracy and functionality of your quota calculations.
