Maintain Your CPQ Specialist Certification for Spring ’20

Salesforce introduced a ton of great feature enhancements. Let’s take a look at some of the more important ones for this release.

These changes apply to Salesforce Lightning Experience and Salesforce Classic in Salesforce CPQ.

Order Usage-Based Products with Evergreen Subscriptions

Let your sales reps sell usage products without the hassle of managing contract renewals. Salesforce CPQ now lets you order usage-based products associated with evergreen subscriptions.

Previously, Salesforce CPQ supported associating usage products with only one-time products or standard subscription products. If a sales rep wanted to quote and sell a usage-based subscription product, they had to renew the parent subscription at the end of every subscription term.

When a sales rep orders an evergreen subscription product related to a consumption schedule, Salesforce CPQ creates an order product with 12 usage summaries. Each summary is the length of the consumption schedule’s billing term. Reps can then create more usage summaries manually for as long as the subscription is active. After reps create usage summaries and order product consumption schedules, Salesforce Billing can invoice them the same way it invoices usage summaries created from standard subscriptions.

Sales reps using price schedule-based usage can also order an evergreen subscription product with a charge type of usage. In this case, they create the order product’s usage summaries manually or through automation.

Apply Edit Rules Efficiently in the Configurator

With the click of a button, you can now run all edit product and price rules at the same time. You no longer have to wait while the configurator automatically processes each change individually.

In large configurations where you regularly change or validate many price rules, it’s time-consuming for rules to run individually with each change.

The Apply Rules button is a new custom action on the Configure Products page.

To set up the Apply Rules custom action to replace the automatic processing of edit rules, complete these steps.

  • Uncheck Apply Immediately on the Configuration Attributes or Product Options that trigger the rules upon edit.
  • In case sales reps forget to click Apply Rules, make sure that all Edit rules are evaluated when reps save their changes.
    • Update all Configurator product rules to evaluate on Always instead of Edit.
    • Clone with related all Configurator price rules to evaluate on Save and on Edit.

Logic Updated for Percent Values in Price Action Formulas

We changed the way literal values representing percentages are evaluated in the Formula of a price action when the Target Field is of type percent. Previously, in Summer ’19, we updated percent fields referenced in price action formulas. In that update, we changed formulas in the Formula field on price actions to no longer divide referenced field values by 100. In Spring ’20, when you use a literal value the behavior is consistent with the way percent fields are evaluated. This update also ensures consistency with the way Salesforce formulas are evaluated in custom field definitions overall.

To identify if you have price actions to update, create a custom report type on the price action object. Include relevant information such as the Name, Formula, Active, or Created Date fields. Run a report on all your price actions to see where you have used a literal percent value as part of your formula.

To make the updates, go to price rules and select a price rule that contains a price action that specifies a field of type percent as the Target Field (1).

Choose the price action and change any values that represent percentage values to their decimal representation. For example, use 1 to represent 100% and 0.5 for 50%.

Then, create a quote, and add a quote line that meets the price rule’s conditions. Verify that the result of the price action formula is accurate.

Transition from Managed Package Licenses to Permission Set Licenses

A new tool has been added to help you prepare your org for an upcoming package upgrade, in which Salesforce CPQ will transition from managed package licenses to permission set licenses. Your org is only ready for the new package upgrade when your managed package license configuration is correct and every CPQ user has an assigned Salesforce CPQ License. 

Use the provided tool to check for upgrade readiness.

The tool provides details on the:

  • Number of provisioned managed package licenses
  • Number of assigned managed package licenses
  • Number of users assigned with permission sets
  • Number of provisioned permission set licenses
  • Number of assigned permission set licenses

If one or more of the following conditions are met, a .csv file can be downloaded so that you can take action:

  • There are users with a permission set but no managed package license.
  • There are inactive users with a permission set.
  • There are users who need a permission set license.

If you make any changes, including assigning licenses, run the tool again to confirm that your org is ready to upgrade.

The tool is available in the CPQ package configuration under Additional Settings.

Prevent Creation of Backdated Amendments

We added a new restriction that prevents users from creating a new amendment with a start date prior to an existing amendment’s start date. Creating backdated amendments this way can cause incorrect quote line totals. Now you can also add a new field to the quote line editor field set to display the earliest valid start date.

Previously, it was possible to create backdated amendments that caused incorrect quote line totals. Now, the only way to create a backdated amendment is to revert any amendments that take effect after the one you want to create, in reverse chronological order. After those amendments are reverted, or zeroed out, create the new amendment. If necessary, re-create the amendments that were zeroed out.

To access this feature, make sure you’re using the Spring ’20 release. To turn off the feature, log a ticket with Salesforce Customer Support.

New Permissions for Previewing Quote Documents

To use the quote’s Preview Document button, users now require Create and Edit permissions on the quote document object.
