Organize and Personalize Your Tasks in One Place

The To Do List has an intuitive user interface to help you find your way around, where icons and dropdown menus guide you to more information. It’s easy to remember how filtering works because the filter icon is a funnel. Filter your tasks to narrow down your focus. The up/down arrows on the sort icon are a reminder that sorting tasks puts them in a sequential order without eliminating any from your view.
Let’s look at the To Do List’s features.
Sort to Prioritize Tasks
Sorting tasks puts them in sequential order so you can quickly view your most important items at the top of the To Do List. Click the Sort icon to get started. Sort options include:
- Due Date
- Last Modified Date
- Created Date
- Lead Score
- Opportunity Score
- Custom Score
Then, you can choose to sort by Ascending or Descending direction.
The Score options—Lead Score, Opportunity Score, or Custom Score—are configured by your Salesforce admin in Sales Engagement. Managers can decide which of these scores are important metrics for your organization, and your Salesforce admin can configure them so they’re available as a sort option.
Filter to Focus and Group Tasks
Use filtering options to see a specific group of tasks. Filter by:
- Task type, Due Date, or Action type
- Related Record or Target
- Task Priority or Status
- Whether your cadence step has started, not started, or is on hold
- Account, which returns all to do items related to both that account and its contacts
To access the Filters menu, click the filter icon to reveal multiple options.
Use the Search Function
You can find a specific task quickly using search terms.
Click the search icon to use search options. As you type in the Search field, Salesforce suggests possible matches.
Identify Cadences in the To Do List
The To Do List is the best way for Sales Engagement users to work through their cadence steps.
Use the built-in cadence icon to identify which tasks relate to specific cadences. Each task card, when expanded, displays the cadence step at the top and the cadence name next to the icon at the bottom of the card. Click the cadence icon ( ) in the expanded navigation panel to display all the tasks and targets for that cadence.
To find a specific cadence to work, look for the blue cadence icon in the navigation panel of the To Do List. The right panel displays all the steps that are due for that cadence. The steps can be sorted and filtered as you see fit.
Personalize Your Use of the To Do List
Custom Labels
You can create and apply custom labels to tasks in the To Do List to organize and sort your tasks in ways that make sense for you. Create labels with specific colors to organize work your way, at a glance. Built-in labels include Starred, Due Today, and Overdue.
Expand the side panel and click a specific label to view all your tasks with that label in a list view.
You can also click the label icon on an individual card. This allows you to search your list of custom labels and apply them, or add a new one.
Pin and Work on Your To Do List in a Side Panel View Using Sales Cloud Everywhere
The To Do List is placed in the utility bar so it can work with different apps from every Salesforce screen. It expands into an overlay window over your current screen.
However, for users who prefer a fixed view, a side panel placement of the To Do List may be convenient. We recommend checking out our expanded Chrome extension, Sales Cloud Everywhere, which includes a full-height version of the To Do List and stays open without covering any records. This even offers the flexibility to pin the To Do List on the left or right side of your browser, depending on your Chrome settings.
With the To Do List in the Salesforce Chrome extension, you can view, filter, sort, search, and complete your pending tasks within the side panel. You can visit any webpage at the same time, which lets you view relevant information outside of Salesforce while prioritizing and completing your tasks.
Work All Targets in a Specific Cadence Step
In the To Do List, you can focus on a specific cadence step and work just those targets.
- Open the navigation panel to view your list of cadences, then click the cadence you want to focus on.
- Click the search icon, and you can see a list of active cadence steps and the number of targets in each one. Select a cadence step to filter by it and work all the targets in that step. Alternatively, click the filter icon. This reveals the cadence steps, which you can select or deselect to identify the specific steps you want to work on.
