Recommend a Cadence of Governance Activities

Learning Objectives

After completing this unit, you’ll be able to:

  • Prescribe a cadence for re-evaluating governance decisions.
  • Define the purpose of key governance activities.

Conduct Consistent Governance

When you advise clients on the roles that are required to successfully govern Slack, you also need to set expectations around how often they should revisit their governing decisions. Slack is a rapidly-growing product, and your clients are growing and expanding their businesses as well. It’s unrealistic to assume that the decisions your clients make around Slack today will always apply in the future. A plan needs to be made to revisit these decisions to determine if they still fit the client’s needs.

In addition to business-as-usual conversations in dedicated governance channels in Slack, there are several activities that your client’s governance team needs to conduct regularly to maintain Slack. These activities include a review of:

  • User support model
  • Analytics
  • Guest and channel clean up
  • Policies and settings

Best Practices

To bring everything together, review our recommendations for governing activities, frequency of reviews, and the roles involved.

Roles

User support model review

Monthly

Review the Slack support processes for admins and users.

  • Check if user requests are managed within the established time frame.
  • Verify that workflows in Slack are working correctly to manage requests.
  • Ensure the support team is adequately staffed to triage requests. We recommend taking a monthly pulse on end user support to identify areas for improvement.
  • Product owners/org owners
  • Org admins/ workspace admins
  • Champions

Slack analytics review

Monthly

Review top analytics to identify gaps or opportunities for Slack usage.

  • Limit access to the Slack analytics dashboard to org owners, org admins, and workspace owners.
  • Use analytics to understand the organization's Slack usage behavior.
  • Use analytics insights to:
    • Identify areas where users may need additional guidance (for example, using channels versus direct messages).
    • Determine whether to reinforce existing habits or implement new best practices.

By regularly reviewing analytics and adjusting your governance strategy, you can maximize the value of Slack for your organization.

Monthly to quarterly

Review channel usage, archive unused channels, and manage guest access.

  • Update channel naming conventions as needed.
  • Review guest memberships and deactivate unnecessary access.
  • Schedule these reviews monthly to quarterly, depending on the user population size. This helps keep the workspace clutter-free and secure.
  • Org admins
  • Champions

Slack policies and settings review

Annually

Review org and workspace policies and settings for Enterprise Grid.

  • For Enterprise Grid clients, review both organization and workspace settings.
  • Revisit original settings selections to ensure they still represent the best interest of the business.
  • Change policies and settings as necessary to accommodate evolving organizational needs or new Slack features.
  • Product owners/org owners
  • Org admins/ workspace admins

Recap

In this badge, you learned about the critical role of a governance team in ensuring Slack's value within an organization. A governance team consists of a core team, workspace-level team, and supporting functions, all working together to manage Slack strategy, administration, and support. To maintain a healthy Slack instance, regular governance activities are essential, including monthly reviews of user support models and Slack analytics, quarterly guest and channel cleanups, and annual reviews of Slack policies and settings. By establishing a robust governance team and cadence for reevaluating governance decisions, organizations can maximize Slack's benefits and adapt to evolving needs.
