Import Records to Sales Cloud

Learning Objectives

After completing this unit, you’ll be able to:
  • Import comments, calls, and meetings.
  • Explain what it means to enable Einstein Activity Capture.
  • Set up a sales process.
  • Customize a sales process.

SalesforceIQ CRM to Sales Cloud Setup

Patsy's got her Sales Cloud instance full of data from SalesforceIQ CRM and almost ready to use. So what now? In this module we'll walk through how Patsy imports manually logged activities, connects her email, sets up a Sales Cloud org, and takes her learning to the next level with Salesforce’s resources.

Feeling confident about her progress, Patsy is ready to tackle her next step, importing comments, calls, meetings, and email. This means she’ll be importing the remaining .CSV files from her org export into Sales Cloud with the help of Data Loader and enabling Einstein Activity Capture.
Note

Note

Data loader is available for Sales Cloud Professional and Sales Cloud Enterprise Edition customers.

Find Data Loader in Your Sales Cloud Setup

  1. Click Gear icon Setup | Setup Home.
  2. In the Quick Find box, enter “Data Loader” then click Data Loader.
  3. Choose the appropriate version for your computer.
  4. Save the file.
  5. Find the downloaded file and double click on it.
  6. Go through the prompts until the installation is complete.
Comments, calls, and meetings each have a slightly different process, so Patsy grabs a cup of coffee, opens up the directions from the SalesforceIQ CRM help center, and follows them carefully.

Now that she’s added her comments, calls, and meetings to her accounts, contacts, and opportunities she’s well on her way to being fully migrated to Sales Cloud.

Connect Your Email with Einstein Activity Capture

The next step in setting up your org is connecting your email with Einstein Activity Capture. Once enabled, this feature tells Sales Cloud to automatically log emails and associate them with the right Salesforce record—no manual logging necessary. Thanks to Einstein, Patsy and her team will have hours more time to spend making peanut butter hand pies.

Einstein Activity Capture is simple to set up, but varies by edition. To enable Einstein in Sales Cloud Essentials, follow the prompts in the Setup Assistant. For Professional and Enterprise edition, search for Einstein Activity Capture in the Quick Find box in Setup and follow the steps there. And that’s it!
Note

Note

After you connect an account, it takes up to 24 hours for Einstein Activity Capture to sync your emails and events to related Salesforce records.

Customize your Sales Stages

Now it’s time to think about a sales process, or path as it’s known in Sales Cloud. A path gives Patsy’s team a visual representation of the stages required for working through a sales process. The best paths mirror a business’ sales process and give just-in-time advice to sales reps. It can also include things, such as:
  • Key fields that reps fill in during the sales process
  • Best practices for closing the deal
  • Words of encouragement to keep the team on track
  • Just-in-time advice potential gotchas
For example, Patsy and her team often drop off a few dozen pies to a potential new market or office building to get folks familiar with their treats. They'll follow up to hear about the experience, and again later to convert the lead into an opportunity. Patsy wants to create a sales path for Leads that includes those actions so her team never skips a step.

When determining which stages she’ll use, Patsy brings together some of her key team members to map out a sales process. Then she determines which of the standard stage names to use and whether to add custom stages like, “Send Samples” to make it personalized for her business.

Let’s take a look at how to set up a path for Leads in Sales Cloud.

Set Up a Path

Let’s start by setting up a path for walk-in sales.
  1. From Setup, enter Path in the Quick Find box, then click Path Settings.

    Path settings

  2. Enable path.
  3. Next, create a path.
  4. Enter Online Orders In the Path Name field.
  5. When you tab to the next field, API Reference Name populates automatically with underscores instead of spaces.
  6. Leave that as is.
  7. For Object, select Lead.
  8. For Record Type, select the one specific to her bakery sales. In this case, use Master. Click Next.
  9. For each stage, add the key fields unique to that stage. Then, add guidance for success. This can include best practices, words of encouragement, or other guidance for your sales team.

    Setup Flow for Path stages

  10. After you’ve populated all the stages, click Next, then click Save and Publish Later. That way, you can go back to the path with your team’s feedback to make sure everyone’s aligned.
Path ensures that Patsy’s team never misses a step en route to a big sale, and increases the likelihood that each warm lead becomes an opportunity. Customizing Sales Cloud makes Patsy feel confident that the platform is ready to grow with her team and her business. Up next, we’ll take a look at how the team brings in new business with contacts, Einstein Activity Capture, and further customization.
