Custom Fields
Now that you know a few ways to manage teams in Salesforce Spiff, you can get into additional features that amplify utility and productivity—starting with custom fields.
These may or may not be relevant to your instance of Salesforce Spiff, but if team custom fields are part of your plans, find them by clicking a team card, then navigating to the third tab on the table. These are variables that can be used/referenced in Designer.
Rather than creating a variable for multiple plans, with custom fields, you can reference the same variable in multiple plans and customize the value uniquely for each team. The Corporate AE team might have a $1,500 team bonus, while the Enterprise AE team has a $2,000 team bonus, but both plans reference the same TeamBonus variable.
Plan and Quota Assignment Automation
Salesforce Spiff is all about making your life as an admin easier. While Teams and Plans (a structured set of payout rules and criteria used to calculate and distribute commissions and incentives to sales representatives) are handled on separate pages within Salesforce Spiff, chances are good that teams often share the same plans or need to be added to the same quotas. That’s where the Automation feature comes in. If you enable this feature, Salesforce Spiff automatically assigns users to plans or quotas once they’re assigned to a team.
First, click a team from the Teams page, then navigate to the fourth tab labeled Automation.
Pairing Plans
Select Pair Your First Plan or Pair Plans to choose the plan you want the team to be paired with. You have the option to automate the addition of team members and the team leads, just the team members, or just the team leads. Once you make your selections click Pair to save.
If there are users already assigned to the team, Salesforce Spiff asks if you want to back apply the plan assignment to these users. If users on the team are already assigned to the paired plan at a previous date, choose Don't Apply, otherwise duplication could occur.
You now see the plan that you paired under Plans in the Automation section. Once you add team members with effective start dates to the team, these are reflected on the plan effective dates automatically. Any changes made to plan effective dates on the Plans tab, reset to the team effective dates during the nightly sync.
Pairing Quotas
Underneath the Quotas section in Automation, click Pair Quotas. Just like with pairing plans, you can choose whether this applies to team members and/or team leads.
Currently only the quota assignment is automated. Quota values still need to be manually input for each user by navigating to the Quotas section of Salesforce Spiff.
Deleting Pairings
Remove the paired plans or quotas by hovering over the three dots on the far right of the visible plan/quota and selecting Remove.
Filter
Click Filter By in the corner of the team member table. Filter by Active or All Members, which eliminates any users whose Effective Until date has already occurred.
Export
You can export a team into a csv file containing each team member’s name, email, role, and effective dates. The export respects any filtering or search that has taken place.
To export the list of all team assignments, rather than just one team at a time, navigate to Admin | Users. From there select Team Assignments in the left column. Use the download functionality to mass export all team assignments.
Now you know how to effectively manage teams in Salesforce Spiff, utilizing features such as template uploads for bulk team creation, setting up hierarchical structures, assigning team leads for statement access, and automating plan and quota assignments.
