Welcome to Product Configuration

In the Revenue Cloud Foundations module, you learned about the Salesforce solution–Revenue Cloud, an all-in-one platform built on Salesforce. Revenue Cloud helps you meet your product-to-cash needs. It has the tools to manage revenue in a modern business environment.

Configure, Price, Quote (CPQ) is a core pillar of Revenue Cloud, and it starts with configuring products. The graphic shows this stage as Configure Deals. To create quotes and orders, sales reps use CPQ to quickly find and select the right products with the right attributes for the customer.

Products and product bundles can be pretty complex, making product configuration a challenge. Imagine that a corporation is looking to buy a workstation bundle for their office staff. It needs to include a laptop, keyboard, monitor, mouse, plus all the relevant software licenses and warranties. To configure an accurate quote, the seller’s sales rep has to make the right product selections and customizations to reflect the customer’s choices, like quantity, size, and color. Any mistakes can slow down the sales process, or even grind it to a halt.

Meet Product Configurator

With Salesforce Product Configurator, a key application in Revenue Cloud, sales teams can quickly and accurately configure complex products and services for quotes and proposals. Features include:

  • Run-time product and asset configuration
  • Real-time pricing
  • Third-party configurator support

This powerful tool guides reps through selecting products and product bundles, customizing attributes, and applying the business rules to make sure quotes are valid.

A Business Scenario

At SmartBytes, an electronic product and solution provider, sales reps often create quotes for corporate customers that buy devices for their teams. Without a product configurator, reps have to manually add items like laptops, keyboards, monitors, software licenses, and warranties to their quotes, plus set all the correct product configurations. This can result in errors like incompatible monitors, the omission of required software, or the inclusion of multiple warranties by mistake. Errors like this can cause order delays, frustrated customers, and even lost business. The sales team needs a better way to work.

Product Configurator in Action

You have two ways to access Product Configurator, either during product discovery or directly from a CPQ quote or order. Product Discovery is another Revenue Cloud capability. To learn about it, check out the resources at the end of the unit.

The example screen shows how to launch Product Configurator from a quote.

Customize products using the configure option on the action menu of quote or order line items.

From the Laptop line item, open the action menu to view the Configure menu option. Here’s the configuration page that opens for the Laptop product.

The Laptop product has customizable attributes, including Display, Graphics, and Processor Speed (1), with a field for updating the product quantity (2). If the Product Validation and Instant Pricing toggle buttons (3) are enabled, the product selections are validated instantly and pricing updated in real time based on the configured selections. The Summary (4) provides an overview of the customized product, including its final price and specifications. After configuring a simple or bundled product, you can save the configuration (5) for reuse, or manage saved configurations to edit or delete as needed.

Here’s a more complex product offering called Laptop Pro Bundle. It includes the Laptop, Mouse, Warranty, and Support products, plus a Printer Bundle.

The configure button Configure. (1) on each product is where you configure each item. The Summary (2) gives an overview of the customized bundle and all the products in it, including the final price and specifications. Use the Save & Exit (3) button to add the customized product directly to the quote or order.

The Revenue Cloud Context

In the Revenue Cloud ecosystem, Product Configurator is a crucial part of CPQ.

Here’s how it fits in:

  • Configure: Product Configurator allows sales reps to select and customize products and services based on customer choices.
  • Price: You can integrate the configurator with pricing rules and engines in Revenue Cloud to automate pricing calculations. This results in accurate and up-to-date pricing, including the application of discounts and tiered pricing.
  • Quote: Add configured products and their associated prices seamlessly to a quote document to be presented to the customer.

Beyond CPQ, the accurate product configuration data captured by the configurator flows through the entire Revenue Cloud to benefit other critical systems:

  • Order management: Customize products to match specific order-management requirements.
  • Billing: Ensure accurate billing based on configured products and services.
  • Contract management: Provide details of the agreed-on configurations in sales contracts.
  • Revenue recognition: Contribute to accurate revenue recognition based on the exact products and services delivered.

In short, Product Configurator is the foundation for accurate and efficient downstream processes in Revenue Cloud. It makes sure the initial quote accurately reflects what the organization offers and what the customer wants.
