Before You Start

Before you start, consider completing the Data Privacy module, which gives you information about the latest privacy laws throughout the world.

Introduction

Privacy compliance is a difficult task for any organization. With different laws and regulations across regions and around the world, how can you manage it all? That’s where Privacy Center comes in. In this module, first you explore what privacy means and how it impacts organizations. Then you learn about Privacy Center and how it can help you effectively manage privacy policies that meet those evolving–and diverse–privacy laws.

What Is Privacy?

In our data-driven world, businesses collect sensitive customer data to provide personalized experiences. Customers want to buy from companies that prioritize privacy management and keep their personal information safe. When customers provide sensitive information, they expect companies to steward it carefully, and provide clear value in exchange.

For businesses, data protection and data management are key to building customer trust. Businesses also need to comply with ‌evolving data privacy regulations. As we explained in the Data Privacy module, organizations have a broad responsibility to develop a comprehensive privacy strategy that considers every stage of the data lifecycle, both on and off the Salesforce Platform.

Data management is complex and often time-consuming, but Privacy Center in Salesforce is up to the challenge. Privacy Center helps you maintain customer privacy through every stage of the data lifecycle. With Privacy Center, you can create policies that help you meet data minimization and privacy requirements on an organizational level. You can also create policies that allow you to comply with customer requests to erase or de-identify their data, or requests for a copy of their data. In addition, Privacy Center can help you manage customer consent.

So What Exactly Is Privacy Center?

Privacy Center is a suite of tools that can help you manage privacy policies and requests for your organization. It does this through three distinct functions.

Privacy Policies for Managing Sensitive Data

Privacy Center helps you manage and protect sensitive data. First, you can define data management policies that ensure only necessary data and personally identifiable information (PII) is retained in production. You can configure your data management policies to mask or delete consumer data. You can run data management policies at scale to support privacy compliance, increase data security, and reduce storage costs. And you can create right to be forgotten policies to honor individual customer requests to have their data removed. With data management and right to be forgotten policies, you also have the option of retaining masked and deleted data in an off-platform Hyperforce data store, which allows you to maintain a copy of the information outside the production environment for audit purposes.

Privacy Policies for Responding to Data Subject Access Requests

Privacy Center also processes data subject access requests (DSARs) for data portability. Create portability policies to provide data subjects with a copy of their PII data so they can review their information for accuracy.

Preference Manager

In addition, Privacy Center streamlines customer content and preferences. In Privacy Center, you can create custom forms to capture consent and keep data consistent. Create forms where customers elect how to be contacted and for what purposes, and then host them on your business website or in Experience Cloud. Now that you know the basics, let’s see how one company implements Privacy Center.

Meet Cumulus Cloud Corporation

Cumulus Cloud Corporation, headquartered in Pittsburgh, Pennsylvania, is a well-diversified financial services giant that operates nationwide. Its Salesforce admin, Matt O'Brienn, is interested in implementing Privacy Center to help the company meet several requirements. First, the company needs to comply with privacy regulations in the regions in which it operates. Next, it needs to comply with data retention requirements for its industry. Cumulus Cloud is also interested in optimizing data storage costs and ensuring efficient data processing.

In addition, Cumulus Cloud receives requests from customers for a copy of their personal data. Matt wants to create an efficient way to provide them with a portable copy of that data, and respond to any erasure or masking requests.

Matt knows that Privacy Center features can help Cumulus Cloud manage data privacy to comply with these myriad privacy considerations, and he’s ready to get started. He plans to implement data management policies and data portability policies first.

Cumulus Cloud wants to roll out consent management later in the year, so we won’t cover Preference Manager in this module.
