Work with an Opportunity Record

Learning Objectives

After completing this unit, you’ll be able to:

  • Describe the purpose of the opportunity record.
  • Edit the details of an opportunity.
  • Move the opportunity from one stage to another.
  • Add supporting assets and information to the opportunity.

What Is an Opportunity Record?

In a Salesforce org, every opportunity (a deal in progress) has an individual listing that contains the details about the opportunity, how it’s progressing, supporting documentation, and the associated relationships. Opportunities are associated with accounts (businesses) and can also be associated with contacts (people), cases, and more. You can complete actions such as editing details, moving the deal through the sales process, and adding supporting information from the opportunity record.

Edit the Details

  1. With an opportunity record open, find the details about this opportunity record.
  2. Click the pencil icon to the right of the Description field.
  3. Enter a new description for this opportunity.
  4. Click Save.
  5. Click the Edit button at the top of the opportunity record.
  6. Adjust any of the fields.
  7. Click Save.

As you can see, there are multiple ways to edit your opportunity record. Keeping opportunity details as accurate and updated as possible is imperative as sales teams use these details to forecast.

Move the Opportunity Through the Sales Process

As you may have noticed, there is a progress bar (known as the sales path) across the top of the opportunity record. This is a visual indication of where this opportunity is in your sales process.

  1. On the sales path, hover your mouse over the current stage (assuming it isn’t closed) and the number of days the deal has been in the current stage appears.
  2. To move this opportunity to the next stage, click Mark Stage as Complete. Note: If the opportunity is already closed, this button reads Change Closed State.
  3. To close this opportunity, click Closed on the sales path. Then click Select Closed Stage.
    Select Closed Stage button highlighted
  4. Select if this opportunity was Closed Won or Closed Lost.
  5. Save your selection. If this opportunity stage was changed in error or needs to revert to a previous stage, click the correct stage and click Mark as Current Stage.

Add Supporting Assets and Information

In the related section, you can specify contact roles, upload supporting files, and more.

  1. Click the Upload Files button.
  2. Add a supporting document that would help win this opportunity. After an asset has been added to this opportunity, any user who has access to this opportunity can now access this asset.

As you can see, the opportunity record is incredibly important for managing a deal from beginning to end. Be sure to keep exploring, as there is even more that can be done within the opportunity record.
