Get the Most Out of the Manage Google Workspace Trail

This module is the beginning of the Manage Google Workspace trail, where you learn the process and best practices for setting up and maintaining Google Workspace for your company. You also learn how Google Workspace integrates with Salesforce. It includes step-by-step exercises, even steps to sign up for a free trial of Google Workspace so you can follow along. While we don’t test you on these exercises, we do provide you with the resources and information to help you follow along.

Bring More of the Business to the Clouds

You’re the Salesforce admin for a small but mighty transportation provider. The business contracts with local governments to provide transportation and logistic services, getting people where they need to go via bus or nonemergency medical transport. It’s a complex business, but important to help communities thrive.

You have many responsibilities—Salesforce administration, operations, and solutions planning—but you don’t do this alone. You collaborate with business development leaders every step of the way. Recently, you came out of a meeting where the leadership team decided that Google Workspace was the best productivity suite to help the business expand. And you called out that it was important to ensure the platform was secure and integrated with Salesforce. 

You want to make sure the company’s communications and data-gathering and workspace tools (email, calendar, spreadsheets, and more) are all in sync with CRM—so duplication is eliminated, information is easy to find, nothing is lost or leaked, and it just works for the people out in the field. Everyone’s eyes lit up when you called this out. They're excited to bring this all together. Way to be an #AwesomeAdmin!

Your first task is to sign up for Google Workspace. Luckily, there’s a free trial you can use to start setting things up, exploring what’s possible, and getting a better sense of what is needed to ensure the platform works well with Salesforce.

Sign Up for Google Workspace

This exercise walks through the steps to sign up for a 14-day trial of Google Workspace and setting up a domain. If you wish to follow along, there are a few things to pay attention to. You will need to enter your payment information and you will be charged for the cost of your domain. You will not be charged for your Google Workspace account if you remember to cancel your subscription before the end of the trial period. This is very important to avoid any unwanted charges!

You can choose any name for your domain as long as it is available. However, if you’re planning to keep the domain after finishing this module, choose your domain name wisely as you can’t change it later. The domain name you sign up with will be your primary domain.

If you prefer to use an existing domain, complete Steps 1 to 5 only and choose I have a domain when asked if you have a domain. This will take you through a different path to complete your setup. Resources are provided at the bottom of the page to guide you through the additional steps you will need to take if you are using an existing domain.

Set Up Your Domain

  1. Open an incognito web browser window and go to the Google Workspace pricing page.
  2. The default Google Workspace trial edition is Business Standard, but this training requires a trial version of Business Plus. So click Get started in the Business Plus column. This takes you to the first screen in the sign-up process.
  3. Enter the following information:
    • Business or organization name
    • Enter the number of employees or members of your organization—for this training you can choose: Just You.
    • Country
  4. Click Next and at the next screen, enter the following information:
    • Your first and last names
    • A current email address
  5. Click Next. This takes you to the screen where you choose what domain you will associate with your new Google Workspace account.
  6. For this training, you’re allowing Google to provision a new domain for you, so click No, I need one.
    • If you prefer to use an existing domain, choose Yes, I have one that I can use.
  7. Enter your desired domain name. Google will now check to see if that domain is already registered. If it is, you can choose from a list of similar domain names or enter another name.
  8. Click Next once Google has determined that your chosen domain name is available.
  9. Here you can choose whether you want to receive occasional emails from Google. For this training, just click No, thanks, then click No, thanks again at the next screen.
  10. You must now create your Google Workspace super administrator account. Enter an email address, for example, admin@yourdomain and a password, and tick the I’m not a robot box.
  11. Click Agree and continue.
  12. Review your payment plan, and click Next. In a few moments you will be redirected to the review and checkout page.
  13. Scroll down and add your credit/debit card details.
    • Optionally, deselect Automatically renew my domain registration every year, then click Agree and continue. Your account will now be created.
  14. The next screen will indicate that a Google Workspace account has been created. From here, click Continue to admin console.
Note

You will receive three email notifications to let you know that your account is ready, billing has been set up and your domain purchase is verified. It can take 30 minutes or longer to receive these messages and for all the services to be available. You may also receive an email from your domain registrar asking you to verify your email address. If you do receive a verification email, follow the instructions provided to verify your address.
