Implementation Steps

Now that you have some awareness of the user interface, let’s review your initial Data Cloud implementation steps as admin. Here’s an overview of steps to get started.

Create users and add permission sets.

Permission sets help you manage the access users have in Data Cloud.

Connect to your Salesforce data.

Install data bundles and create data streams. Data bundles are pre-modeled standardized data sets.

Connect to other sources.

From bringing in data to connecting using data federation, learn about all possible connectors and integrations.

If using, create data spaces.

Accounts come with a default data space, but more can be purchased.

Prepare for ongoing tasks and maintenance.

Set yourself up for success by establishing auditing and troubleshooting procedures.  

User Management

In Data Cloud user permissions are determined by a permission set, which specifies the tasks users can perform and the features they can access. After you create each user, you need to assign a permission set to the user. 

To manage and assign users and access Data Cloud Setup, you must have a system administrator user profile or permissions that grant access to Salesforce Setup. If you have access to Salesforce Setup, you can set up Data Cloud and access other integrated Salesforce systems.

To help you decide what permissions you need to give to each of your users, it’s good to start with the standard permission set options in Data Cloud. Refer to the Data Cloud Standard Permission Sets documentation for the most current information on standard permission sets included with your license type.

Users with this permission set can access all functionality within Data Cloud, including mapping data to the data model and creating data streams, identity resolution rulesets, and calculated insights.

Data Cloud User

Users with this permission set can view Data Cloud features.

Additional Segmentation and Activation Permission Sets

Permission Set

Description

Data Cloud Marketing Admin 

Users with this permission set can access all functionality within Data Cloud, including mapping data to the data model and creating data streams, identity resolution rulesets, and calculated insights.

Data Cloud Marketing Manager

Users with this permission set can manage an overall segmentation strategy, including creating activation targets and activations.

Data Cloud Marketing Data Aware Specialist

Users with this permission set can map data to the data model and create data streams, identity resolution rulesets, and calculated insights.

You should work closely with these individuals to make sure that your Data Cloud account meets the needs of all your users.

Add Users and Permission Sets

Again, we assume you are a system admin. If you’re not an admin, that’s OK. Read along to learn how your administrator would take the steps in a production org. Don’t try to follow these steps in your Trailhead Playground. Orgs provided for Data Cloud Trailhead projects don't have access to Data Cloud Setup.

Here is how to set up users and assign permission sets. You can do this now or come back to this step later. You also have to give yourself a permission set to access Data Cloud features.

  1. Go to Data Cloud Setup.
  2. Under User Management, click Users.
  3. Add new users or edit an existing user.
  4. Select a user and click Permission Set Assignments.
  5. Click Edit Assignments.
  6. Select the appropriate Data Cloud permission set and click Add.
  7. Click Save.

As soon as you complete these steps, your new user receives an email notification with login information, so be sure you talk with them if the account is truly ready for them to use. 

When you're ready, repeat these steps for all your users.
