April Guthman is a care coordinator at Bloomington Caregivers. With Intelligent Document Reader set up, she can use it for patient referrals. Let’s follow along.

Upload and Transform Documents

Here’s how April uploads a patient referral document and transforms it with Intelligent Document Reader.

  1. From the App Launcher find and select Received Documents.
  2. Click Upload Documents.
  3. Select a document. April selects a referral document received from Elena Nieto, a patient at Bloomington Caregivers.
  4. Click Open and then Done.
  5. The file is uploaded and a Received Document record is created. Click the dropdown to the right of the record page and select Transform Document.

To ensure data consistency and accuracy during the extraction process, April must map the referral document to the Lead object in Salesforce Health Cloud.

Here’s what she does.

  1. Select the referral document page.
  2. In the Associated Record field, click the dropdown to the left and select Lead.
  3. Search for and select Elena Nieto.
  4. Click the Document Checklist Item field.
  5. Search for and select Referral Document Checklist.
  6. Under Pages, select All Pages.
  7. Click Save.

Handle Special Characters

Some fields like First Name* in referral forms have an asterisk (*) or a special character, which suggests that they’re required fields. Intelligent Document Reader processes just the field name and not the special character. For accuracy, Intelligent Document Reader automatically removes special characters like colons and asterisks in leading or trailing positions in a document field. So when you create a template, Intelligent Document Reader maps all fields with such special characters as per the template.

Review Extracted Data

Intelligent Document Reader has extracted a lot of data from the form in minutes, a task that would usually take April several hours to complete manually. She can verify whether Intelligent Document Reader has extracted all the relevant data from the patient referral document and entered it in the right fields in the Leads object. How? From the dropdown list in the Document Checklist Items section, she selects Review Document. On the Review Document window, April can easily verify the accuracy of the data. In the rare instance of any missing information in the field data, she can add it to the right field manually.
